BY-LAWS DESCRIPTION OF JOB DUTIES

ARTICLE 3, Section 2:

The First Vice President shall serve as President, in his/her absence, and shall be responsible for obtaining new members and enhancing current membership.

DIRECT TASKS AND RESPONSIBILITIES

1. /

Process new membership applications.

2. / Process membership renewals.
3. / Produce (manage production of) membership directory and EnKA brochures (The organization provides funding for database manager and for desk top publishing in these processes.)
4. / Warehouse and distribute membership directory, brochures and books, relative to new members, and other informational materials.
5. / I week prior to monthly board conference call, a brief update of membership activities will be sent to the President to be put into the agenda.
6. / Maintain records of expenditures and promptly submit expenses for reimbursement on a quarterly basis.
7. / Review membership renewal processes, packet contents, make recommendations at board meetings for suggested changes. Investigate printing of packet contents and plan for production.
8. / Attend Face-to-Face Board Meetings and monthly board conference calls.

INDIRECT (SHARED) OR OVERSIGHT RESPONSIBILITIES

1. / Serve as President in the absence of the President.
2. / Plan for and coordinate activities with the Board & Membership Committee to increase new members.
3. / Analyze membership trends.
4. / Treasurer will provide a yearly budget for VP Membership’s approval. This will be based on the previous year’s activity including the production of materials (printing, copying, design) or ordering for membership packets and associated mailing costs.

TIMETABLES AND DELIVERABLES

Annual & Mid-Year Face-to-Face Board Meeting:

1. / Maintain paperwork and files pertinent to membership.
2. / Review and finalize additions and changes to contents of membership packets.
3. / Finalize any changes to membership application or dues.
4. / Plan any membership incentives.
5. /

Prepare data on membership (new, renewals, non renewals) and suggestions for membership initiatives.

6. /

Report on actions to be taken for late renewals and contacts to non renewals.

7. /

Determine deadline for updating contents of membership directory, it’s printing and distribution.

Monthly:

1. / Produce and mail membership renewal notices
2. / Membership’s database will be maintained and updated at least once per month and sent to the Newsletter Editor, Web-Master, and Communications Director via I-Contact or similar vehicle.
