Job Description

Position:Human Resources Officer

Department:Human Resources

Report to:Human Resources Advisor via Human Resources Manager

Main Job Roles and Responsibilities:

Recruitment

  1. Job Application
  2. Key in the information of the received applications into the computer.
  3. File the applications and sort them according the applied positions.
  4. Screen and select the applications that match with the current job vacancy.
  5. Contact and make an appointment with the job applicant(s) for an interview.
  6. Inform the applicant(s) the result of the interview via phone for the ones whom the school decides to offer a job and via email for the ones whom the school decides not to hire at this time.
  7. Documents for new staff
  8. Check if the new hire(s) has submitted all the documents needed for filing and follow up with the new hire(s) to submit the documents that have not been submitted yet.
  9. Issue the letter for Police Clearance (Criminal Record), Thai Royal Police.
  10. Take photo and issue ID Card (ID Badge).
  11. New Staff Announcement (Job Title Announcement).
  12. Record the new hire’s information into Human Resources Software.
  13. Take care of all staff’s document filing.
  14. Submit evaluation form direct to the Supervisor/Manager/Head of Department for all new staff who are going to finish their probation period regarding the due date recorded in the file.

Attendance/Announcement/Reports

  1. Record all staff’s attendance (Sick leave, Business Leave, Vacation, and late minutes) into Human Resources Softwareand file the documents.
  2. Key all staff’s attendance adjustment into Human Resources Software and file the documents. This case is for staff who cannot scan their fingers at the scanners, or finger prints are not recorded in the system. Also staff who are out for the school’s business, or training and professional development.
  3. Summarizea monthly and yearlyreport of attendance, leaves, and late minutes of all staff’s from Human Resources Software.
  1. Human Resources Announcement: new staff announcement, Lieu day or special day-off announcement, internal job vacancy, or other documents to announce assigned by Human Resources Supervisor/Advisor.
  2. Issue letters: employment letter, salary verification letter, letter for visa application, etc.
  3. Update staff list (new staff and staff resigned) to send forwards to related departments – ICT, Financial & Accounting, Whole School Librarian, etc.
  4. Summarize monthly information and other issues related to Social Security to submit to Financial & Accounting Department.

Others

  1. Manage Human Resources software.
  2. Manage all filing, and make sure all of files are up-to-date.
  3. Maintain all office accessories by check and order boxes of paper including all office supplies before they are out of stock.
  4. To organize the office supplies cabinet for being tidy and ready to use.
  5. Other tasks assigned by Human Resources Advisor or Human ResourcesManager.
