Every day more than 24,000 Médecins Sans Frontières field staff are providing assistance to people caught in crises around the world. We have offices in 19 countries supporting these teams, including our office in Sydney.

In addition to the projects detailed below, the department also runs substantial face to face programs and associated activities, major donor, bequest, trust and foundation, and payroll giving programs.

The Project Coordinator fulfils a unique role within the Fundraising Department undertaking a variety of projects and responsibilities that are not suitable for fulfilment by other departmentals. Thisrole reports to the Head of Fundraising.

The other departments are: Direct Marketing Data, Major Gifts and the Regular Giving team. These positions report to the Head of Fundraising.

The organisational Strategic Plan 2016 – 2019 commits Médecins Sans Frontières to expanding and improving the medical-humanitarian care it offers to its beneficiaries. The fulfilment of this objective is dependent on the fundraising team meeting its substantial growth targets.

Overall Responsibility

This position is expected to fulfil several duties including; completion of significant departmental development projects, special projects not suitable for other departments and the provision of advice to the Head of Fundraising. In addition the position will also be available to provide advice to other departments and provide human resource capacity in the event of the absence in other departments.

The role is also responsible for the workplace and matched giving program.

The primary success measure for this position is completion of delegated projects, however non tangibles including maintenance of brand integrity and relationships with project and organisational stakeholders are also vital to the successful fulfilment of the role.

Although this position has no permanent responsibility for the direct management of staff, it is expected that this will be a time to time requirement.

Main Tasks/ Duties

Project Management

  • Deliver departmental and organisational development projects as set by the Head of Fundraising
  • Provide additional project management capacity
  • Provide assistance and guidance to other Médecins Sans Frontières Fundraising Staff on efficient and effective project management.
  • At the request of the Head of Fundraising, develop detailed and actionable project plans, resource and financial modelling for new fundraising initiatives including possible new market entry.

Workplace and Matched Giving

  • Develop and implement a range of activities aimed at increasing support for the work of Médecins Sans Frontières from Australians through workplace and matched giving.
  • Develop and manage relationships with existing workplace and matched giving organisations and enhance stewardship with donors.
  • Manage retention activities for workplace and matched giving organisations and donors
  • Research and solicit workplace and matched giving organisations.
  • Provide first point of contact for prospective and existing workplace and matched giving organisations.
  • Ensure accuracy and timeliness of receipts for matched giving organisations.
  • Ensure accuracy in data and reporting on income and expenditure.
  • Liaise with Service Centre and other internal departments.
  • Liaise with external intermediary organisations and agencies for payroll notifications and deductions.
  • Manage workplace giving platforms to ensure Médecins Sans Frontières branding integrity, and information is accurate and updated for donors.
  • Update and manage workplace giving collateral.
  • Ensure website kept updated.

Interdepartmental Liaison

  • Participate as a representative of the Fundraising Department in appropriate cross departmental activities, committees and other working groups as required by the Head of Fundraising.

Departmental Support

  • Provide reactive and proactive advice and support to the Head of Fundraising on a variety of fundraising related issues.
  • Provide advice upon request or direction of the Head of Fundraising to other Fundraising Departments.
  • Undertake appropriate job functions of absent department managers.
  • In conjunction with the Head of Fundraising coordinate the department’s response to a significant emergency response.

Other Fundraising Material

  • Develop other fundraising material as appropriate.

Staff Management

  • Effectively manage staff that may be employed on a casual basis to work on fundraising projects.

Internal Relationships

  • Ensure all internal relationships are of a high standard and contribute positively to the growth of the Fundraising Department and the organisation as a whole.
  • Work effectively with Communications Department, Finance Departmentand the Editorial Committee where required.
  • Ensure the Service Centre is aware of ongoing projects and upcoming work and has the necessary information and tools to deliver exceptional customer care standards.
  • Work effectively with the data management team in the management of data ensuring that maximum benefit is extracted from donor and related data.

Compliance

  • Ensure that all work undertaken meets legislative and regulatory compliance, including Trade Practices Act 1974, various state and territory fundraising legislation and other as appropriate.
  • Ensure work undertaken is compliant with National Privacy Principles.
  • Ensure all work produced is in accordance with Médecins Sans Frontières Australia Style Guidelines.
  • Ensure compliance with Médecins Sans Frontières Australia financial accountability processes.
  • Any other relevant compliance regimes including OH&S

Other

  • Contribute positively to team cohesion.
  • Undertake such other fundraising related activities as may be required by the Head of Fundraising.
  • Undertake any reasonable request by the Head of Fundraising or Executive Director to assist the organisation in the event of a significant emergency response.

Selection Criteria

Essential Criteria

  • Significant experience within a Fundraising Department of a not for profit organisation.
  • Prior responsibility for the successful delivery of a diverse and complex range of fundraising projects
  • Demonstratedability to manage a diverse range of stakeholder relations
  • Extensive experience in working with external partners to deliver projects
  • Excellent communication skills including, copywriting and editing skills
  • Ability to analyse project result data and produce reports
  • Excellenttime management skills and ability to deliver to deadlines
  • Creative thinking and solution focussed problem solving ability
  • Excellent spreadsheet and word processing skills
  • Ability to work in a team and foster team spirit

Desirable Criteria

  • Appropriate tertiary qualification
  • Knowledge of Médecins Sans Frontières project management processes
  • Knowledge of Médecins Sans Frontières fundraising programs
  • Knowledge of the New Zealand fundraising market
  • Knowledge of workplace and matched giving programs
  • Razors Edge experience
