POSITION: Enrollment Services Specialist

GENERAL DESCRIPTION:

The Enrollment Services Specialist performs responsible work conducting the admissions and registration process for students. Related clerical and office duties are also performed. Limited supervision is provided and personnel in this classification are required to have specific knowledge of procedures and regulations relative to student admissions. Work is performed under the general supervision of the Director, Enrollment Services.

ESSENTIAL JOB DUTIES:

  1. Assists students in completing application forms and responds to questions. Answers questions concerning residency requirements and makes residency determinations. Assists students in completing other registration forms as necessary.
  2. Inputs and retrieves student data using the Banner Software System and notifies student in writing of any documents that are needed; i.e. transcripts, residency information, or other missing or relevant data for admissions or students records. Applies necessary admissions holds.
  3. Sets up permanent student files for all campuses and maintains files in proper manner.
  4. Sends out acceptance letters to students as requested.
  5. Answers telephone questions and counter inquiries concerning admission and transfer issues.
  6. Consults with counselors and department heads on records and status of students as needed.
  7. Updates student’s status on the computer to reflect transcripts received, outstanding transcripts and/or documents. Forwards transcripts to the Director for review and an evaluation.
  8. Enters Change of Program requests, checks student file for completeness and initiates letter requesting any missing documents. Applies necessary admissions holds.
  9. Maintains Admissions Hold List and follows up with the students either verbally or in writing.
  10. Verifies No Show Students and places files in appropriate area and inputs data.

  1. Processes and tracks graduation applications. Prepares a graduation list for the ceremony and program. Works with Director on printing and mailing diplomas.
  2. Provides clerical support in the processing of international students.
  3. Retrieves and scans records from/to the optical disk storage system.
  4. Enters enrollment related data in the student database using the Banner Software system ensuring accuracy and timeliness.
  5. Uses the Banner Software System to perform student registration county-wide by telephone and in person for credit and non-credit courses.

MINIMUM QUALIFICATIONS:

  • Graduation from an accredited two-year college or university with an Associates Degree in a related field.
  • Two (2) years experience working in a responsible clerical job, preferably in an educational setting.
  • Knowledge of computer systems and operations as related to student admissions and records.
  • Knowledge of the college's policies, procedures and practices as related to admissions procedures, practices, and policies.
  • Knowledge of limited access admissions requirements.
  • Knowledge of business English and spelling.
  • Knowledge of office practices and procedures.
  • Knowledge of word processing software.
  • Ability to work effectively in a highly visible environment.
  • Ability to deal effectively with faculty, staff, students and the public.
  • Ability to make decisions in accordance with College policy.
  • Ability to maintain confidentiality concerning student records.
  • Ability to communicate verbally and in writing.
  • Ability to make mathematics computations and tabulations accurately.
  • Ability to access, input and retrieve information from a computer.
  • Skill in typing.

SALARY:$12.87--$13.51 per hour based on education and experience
