POSITION DESCRIPTION – ICT SYSTEMS MANAGER

Preamble

Emmanuel College,comprising the all-boys St Paul’s Campus, Altona North and coeducational Notre Dame Campus, Pt Cook, operates within a Catholic ethos based on Gospel values - respect for personal dignity, peace and justice, integrity and reconciliation - as expressed in its Marianist tradition. The ICT Systems Manager leads the management, operation and development of College ICT systems and operates from each campus on a cyclic basis.Members of the ICT Support Team report to the ICT Systems Manager who reports to the Business Manager. The ICT Systems Manager is a member of the AdSys Team, chaired by the Leader of Learning.

The commencement salary for the position will be in the $85-100K range, dependent on the successful candidate’s qualifications, experience and record of success in ICT leadership and management.A mobile phone and laptop are provided.

Overview of the Role

The ICT Systems Manager is responsible for the following dimensions of ICTmanagement and leadership:

  • management and development of systems and infrastructure
  • project management
  • program and policy developmentand related reporting
  • leading systems and staff support
  • leading a support team based in multiple locations
  • external provider management

The ICT Systems Manager is on-call outside school hours, including week-ends, and attends the relevant campus in regards to outages as required.

Duties of the Systems Manager

Information systems

The ICT Systems Manager is responsible for:

  • College ICT operations including the configuration and maintenance of server and networking infrastructure;
  • College ICT assets including laptops, computers, printers, copiers and other ICT devices;
  • College telephony system, including maintenance and configuration;
  • Ensuring effective student BYOD management and operation;
  • Implementation of information systems upgrades;
  • Troubleshooting any software or hardware problems;
  • Recommending hardware or software upgrades or changes;
  • Maintaining and updating Virus Protection/Computer Security software;
  • Recommending ICT contract and leasing arrangements to the Business Manager;
  • Management of the landline, broadband and mobile phone systems and related contracts;
  • Recommending 1:1 student laptop devices on an annual basis to Adsys;
  • Maintaining all SOE for College owned devices, including desktops, laptops etc.
  • Management, maintenance and reporting ofsecurity systems including, CCTV and Electronic Access devices;
  • Management of ICT related projects, including ICT asset refreshments;
  • Responsibility of ICT Help Desk;
  • Policy investigations, including student/staff ICT breaches;
  • Management of College data security, including back-ups, firewalls etc;
  • Maintaining ICT asset registers.

User Management

  • Maintain the following active College user databases;
  • Principal user database (Active Directory)
  • Cost recovery database (PaperCut)
  • Student Attendance system(PING)
  • NTN – Echo Login & Enrolment
  • Library System – OLIVER
  • WHS system – ONGUARD
  • Google Suite
  • Office 365
  • SIMON user and Photo database
  • PAM system

Provision of support

  • Coordinate the work of the ICT Support team
  • Ensure timely and effective response to:

staff ICT help-desk requests

classroom ICT supportrequests

student and staff support requests at ICT reception windows

  • Ensure timely updates to staff on interruption of service
  • Ensure timely and effective communication to staff of ICT changes which affect their work
  • Maintain and update SIMON and ICT Help resources in SIMON Knowledge banks

1:1 Laptop program

  • Manage the ICT maintenance and system dimensions of the 1:1 laptop program
  • Maintain records of repairs and charges
  • Act as contact point for parent enquiries
  • Liaison regarding ICT asset warranty enquiries

Management of Learning Management Systems

  • Liaise with the Leader of Learning regarding related Learning Management System issues
  • Ensure the currency of Learning Management Systems
  • Attend SIMON and ECHO usergroup meetings

Assessment data

  • Maintain the student assessment summary database (SIMON)
  • Supporting assessment for learning in the analysis of data (NAPLAN and PATR)
  • Generatethe biennial Principal List (GPA score)

ICT across the curriculum

  • Update Domain Learning Leaders on relevant hardware and software
  • Manage computer rooms/labs and laptop access and use
  • Contribute to College decision-making in ICT dimensions of curriculum development.

Administration and planning

  • Maintain and develop the intranet/internet
  • Organise resources and materials
  • Prepare and manage annual budgets
  • Notify the Finance Office of 1:1 billing requirements
  • Produce annual ICT utilisation reports
  • Attend meetings of AdSys
  • Attend weekly meetings with the Business Manager

External Providers

  • Forge and maintain strong external vendor relationships
  • Manage effectively relevant liaison with external providers
  • Negotiate best-outcome Service Level Agreementswith external providers
  • Manage and report on ICT procurement
