Position: Chair Person/Teacher's Appreciation

Goals of the Position:

Coordinate and host the Teacher's Appreciation luncheons that occur three times a year, two times at the schedule teachers conferences and in May during teachers' appreciation week.

Brief Summary of Duties:

1) Luncheon Dates - Contact the PTO co-presidents and the Principle to find out the dates of parent teachers conferences for the school year. The best days to have the luncheons is Tuesdays or Thursdays. The teachers stay in on Mondays, Wednesday is a short day and Fridays they go out to eat. The last luncheon is held in May during Teacher's Appreciation week.

2) Menu - Since this in appreciation of the teachers get their input on what they would like to eat. The school's administrative assistance is a good source to get this information. Call several days in advance to order the food and get a check from the PTO treasurer. You need to get a copy of the tax exempt form in the beginning of the year and present with each payment to the company. The food needs to arrive no later than 10:00 a.m., either by you or having someone pick it up or have it delivered.

3) Volunteers - Desserts and side dishes are brought in by volunteering parents the morning of the luncheon and placed in the office. If items need to be refrigerated there is usually room in the teachers' lounge. A week before the luncheon you need to contact the volunteer coordinator and let her know how many people you need to bring desserts and/or side dishes so she can get an email out. You can provide drinks if you like however make sure you get the cups and ice.

3) Setting up - The teachers usually start eating around 10:30 a.m. due to conferences being scheduled throughout the day. The luncheon is set up in the teacher's lounge on the second floor. The chair needs to bring in decorations and decorate the room to make it look festive. Although this can be done alone it is highly suggested you get at least 3 volunteers to help with bringing up the food and setting it up as well as decorations.

Plates and silverware are provided by the school and do not have to be purchased. Everything is located in the teachers' lounge however sometimes you may need to get serving spoons and extra silverware from the lunch room. The chair should check several days before the luncheon to determine if these items need to be purchased.

4) Clean Up - The chair should wait until the first teacher arrives before leaving. You can have the Principle contact you once they have eaten so clean up can be done. Many times the teachers my clean up because they will eat throughout the day. I believe the best approach is to speak to them in advance and that will determine the course for clean up.

5) Receipts = All receipts should be turned into the PTO treasurer for reimbursement.
