Position:Administrative Assistant/Prevention Specialist

Summary:

The Alliance for Community Empowerment (ACE)program is a program funded by County of San Diego, Mental Health Services Act, Prevention and Early Intervention. ACE is an innovative prevention and early intervention program designed to increase family, youth, and community resiliency in neighborhood with high crime rates, gang activity and violence in San Diego’s Central Region. Under the direction of the Program Supervisorof the ACEprogram,the Administrative Assistant/Prevention Specialist will provide administrative support to the program and direct services to children at risk and their families.

Essential Duties & Responsibilities:

Administrative Assistant

  • Provide administrative support to Program Director, Program Supervisor, and Staff, including typing, setting up program files, statistical data collection, and other duties as requested by supervisors.
  • Create, organize, file, and maintain client charts and records of public information and community contacts.
  • File retention in accordance to the agency and program’s policy.
  • Provide assistance in agency and program audits.
  • Order all the supplies needed to run an efficient and professional office, keeping track of when supplies are running low, and making sure supplies are ordered before they run out.
  • Distribution of supplies for program staff and maintenance of inventory database.
  • Provide reminders to staff of paperwork requirements and meeting dates.
  • Log, screen, and follow up with telephone, fax, mailed, or walk-in of referrals.
  • Answer telephone calls and link caller to appropriate program staff or provide information to appropriate community resources.
  • Follow up on phone messages and emails by the next business day.
  • Replenish all County and program forms.
  • Maintain program work area with supplies and cleanliness. .

Prevention Specialist

  • Conduct follow up on referrals received from collaborative schools, service providers, law enforcement, and the community.
  • Participate as a member of an interdisciplinary team to promote overall wellness of children at risk and their families.
  • Provide family driven and culturally competent education, training, support and case management services.
  • Plan and coordinate meetings and activities with youth (activities will include cultural workshops, gang awareness workshops, alcohol and substance abuse workshops, career awareness, arts and music/dance)
  • Recruit and coordinate life skills development speakers/trainers from community based agencies, law enforcement, institutions of higher learning, hospital/community clinics and other agencies
  • Provide violence prevention curriculum in schools, community, and at the ACE office.
  • Collaborate with grass roots organizations, community and faith-based organizations, probation, and law-enforcement
  • Administer surveys to assess needs and implement changes for improving the program
  • Maintain sign-in sheets and records of youth participants
  • Attends regular staff meetings and trainings and community meetings as it relates to the youth
  • Educate youth on life skills development including prevention and solutions building in the areas of: gangs, substance abuse, tobacco, suicide, teen pregnancy and academic failure
  • Provide youth with career exploration, leadership development and community service opportunities
  • Educate and build capacity in youth, families, and the community in gang awareness, violence prevention, and resiliency.
  • Provide culturally appropriate and sensitive services to the Central Region of San Diego.
  • Provide and coordinate alternative activities for youth, families and community.
  • Provide linkages and referrals to communities in Central Region area of San Diego.
  • Prepare documentation, reports, and records of services provided and its outcomes.
  • Drive to multiple locations (i.e. community, client’s home, school, UPAC office) to provide services.
  • Other duties and responsibilities as assigned.

Qualifications:

  • Minimum high school diploma or equivalent and 2 year experience in social service setting or prevention activities.
  • Knowledge of and experience in gang and violence prevention activities amongst diverse population.
  • Knowledge and experience in working with children, adolescents and families in multi-cultural settings.
  • Ability to provide crisis intervention, consultation, education, advocacy, community organization and follow up services.
  • Ability to prepare written reports and records of services rendered.
  • Ability to maintain strict confidentiality with regard to sensitive or proprietary information or materials.
  • Working knowledge of Central Region San Diego area and surrounding communities.
  • Excellent oral and written communication skills.
  • Ability to interact effectively with the public.
  • Ability to work independently, as well as cooperatively as a member of the multi-disciplinary team and inter-agency collaborative.
  • Ability to use sound judgment and function effectively and calmly in stressful situations or times of crisis.
  • Must demonstrate intermediate level of computer literacy and experience using office productivity software (i.e. word processing, spreadsheet, database, and email programs).
  • Will not be debarred or excluded from participation in Federal programs by the General Services Administration and/or the Department of Health and Human Services of the Inspector General.
  • Must submit to and receive clearance on criminal record background check (Live Scan)
  • Must have TB clearance

ADDITIONAL PREFERRED EDUCATION AND/OR EXPERIENCE WHICH IS A PLUS:

  • Bilingual/bicultural experience and language ability in Spanish preferred
  • Knowledge and experience in Motivational Interviewing techniques
