08/14/2013 MEETING MINUTES

Present: Lisa Adams, Chris Barden, Barb Brewster, Sherry Daniels, Kate Drmolka, Jackie Feltz, Cathy Guth, Laurel Hoeth, Barb Laskowski, Brett Lesniak, Krista Otto, Jean Schwirtz, Dianne Trzebiatowski

One year from today…FTD 2014 will be done and we will be celebrating!

1. Executive Committee Update: Sherry Daniels

Shared minutes from the Executive Board. Next meeting is next Monday, August 19.

2. Updates from Committee Chairs:

Fundraising Calendar- Kate Drmolka:

Changes have been made to Pay Pal. When ordering on-line the first calendar will be $12.00 and then 2 and more will be $10.00 each.

Still looking for places to sell the calendars. Christy W. will contact businesses from Stevens Point and Krista from Junction City.

Kate will contact Sherry with the total cost for the calendars by next Monday, the 19, for the Executive Committee approval.

We should be thinking about places/events to sell calendars.

Production date is set for October 1.

Opening Ceremony -Jackie Feltz/Lisa Adams

They will start contacting/lining up people for the ceremony now that it is one year out.

We are responsible for the refreshments served.

The Family Mercantile Tent- Dianne Trzebiatowski: Submitted written report –see below

Vendor parking is also for the craft vendors.

Family Living Committee will provide admission tickets for the vendors.

She will check with the Bancroft Lions about using their benches in the tent.

Sherry will ask the executive committee about the Liability Insurance Policy and the color (blue) for the skirting.

Vendors can sell spices/mixes and have bite-size samples.

No news from Sentry.

Decided on the tent’s name… The Family Mercantile Tent

Theme/Decorations- Lisa Adams:

Shared ideas for the decorations, stage, outside, around the tent and signage ideas.

Hopes to get a donation of colored wood chips.

Will ask 4-H members to plant various pots for us.

Lisa will supply the totes and all the extra items needed for our tent.

Education Booth/Stage- Laurel Hoeth and Brett Lesniak:

Have the applications for the entertainment and educational booths ready. After they are excepted they will mail forms to perspective vendors and entertainers.

Entertainers will be given admission tickets.

They will park in the vendor parking.

There will be “gators” to haul equipment and supplies to the tent.

Entertainers can bring their own sound equipment… but it is a LONG way to the tent. Things will need to be hauled with the “gators" and extra time is needed.

Field to Table Video- Barb Laskowski and Cathy Guth: Submitted written report - see below

They have been very busy collection Ariel pictures of many “farming” areas.

Pictures and Farm Facts will “loop” all day.

The pictures belong to them and will NOT be released to use on the web.

The application form is on the FTD web site. Hopes to give gifts to the applicants.

3. Officer Reports:

Treasurer- Christy Worzalla: absent

Some discussion on the budget and what can be spent on the entertainers. Barb and Sherry will discuss this and get back to us.

Secretary- Jean Schwirtz:

Sherry has conflicts for the next two months. We will change our meeting to the 3rd Wednesday for September and

October and then in November go back to the second Wednesday: September 18, October 16, November13. Will probably skip December.

Send committee reports for the September 18 meeting by September 10. Agenda will be e-mailed on September 11.

We will have” Save the Date” postcards for the Opening Ceremony People

December 5, 2013 is the summary day for this year’s FTD. It will be at the Elizabeth Inn, in Plover from 9 a.m. to 4 p.m.. We are all invited/encouraged to attend. There will be a lot of good information for us. More information to follow.

Mercantile Tent Report: Dianne Trzebiatowski

I’ve updated the forms as best I can with the information available. I still have NOT been able to find a “Vendor Agreement” for the craft vendors. We need to decide for sure what we want to call the craft tent. Barb has suggested “Family Mercantile” which would tie the tent to the “Family” theme. I think “The Family Mercantile” might be better. My favorite is still “Country Mercantile” or we could use “Arts and Crafts”. We need to discuss coordinating signage and decorations for our tents. My timeline is pretty well set with deadlines for info going out and in.

Questions I have;

-I know there is a VENDOR PARKING lot but can the craft vendors use it or is it just for the commercial vendors?

-Is the Family Living Committee going to provide admission tickets for the vendors?

Outagamie FTD gave 2 tickets/day/vendor.

-Benches—The Bancroft Lions Club has 6 benches in their Lion’s Park. I know a contact person.

-What will the cost of the Liability Insurance Policy from FTD, Inc. be?

-Barron and Outagamie both had blue skirting. Is that the only choice?

-If we have a vendor who sells spices, packaged mixes, do we need to get the okay from the Executive Committee?

-Any news from Sentry? Maybe they would consider sponsoring a “Changing and Breast Feeding” area.

-Host gifts?

Field to Table/Pioneering Women: Barb Laskowski

We are trying to get pictures of everything happening in the fields now. The pea harvest is done and sweet corn, beans, potatoes, grains and hay are all happening now. We are to meet tonight to go over everything we have thus far for the slideshow. I made arrangements to get a few aerial photos and hoping we will be able to use some.

As far as the Pioneering Woman there is nothing much to report until we are receiving nominations. I am thinking of what we can present to them at the ceremony. I am thinking a small bouquet a flowers maybe or/and a gift certificate for some pampering for a massage. I don't know if I can get any funds for this from the committee or will have to ask for a monetary donation from local businesses. Food for thought.

Family Living Committee Chair’s Report: Barb Brewster August 5, 2013

1.  When will we know Sentry’s sponsorship decisions? How long do we wait for Sentry’s decision before we reach out to other companies?

·  Other sponsorship ideas?

·  See Pierce County Family Living Tent Sponsorship Information – attached.

2.  On-line calendar sales are being set up through Pay Pal.

·  Due to the limitations with Pay Pal, we are making some changes to the on-line orders:

o  First calendar purchased is always $12.00 – regardless of the number purchased. We can justify this difference on-line due to the Pay Pal charges.

o  For orders of 6 or more, we are offering a shipping discount. The purchaser will be directed to call Sherry & she will determine the shipping charge based on the number of calendars ordered. These sales will not be via Pay Pal. Sherry will fill out the form and the buyer will send a check to Sherry for the cost and shipping as Pay Pal isn’t flexible.

o  We may have to pay sales tax on the sales. If we do, we will “eat” the sales tax
instead of changing the prices and to keep it simple. Executive Committee is
looking into this.

·  Calendar form that is down loaded (our original that is now on-line:

o  This will stay as an option for folks to order the calendars.

o  The revised form will be posted soon.

3.  I am not quite sure which tents these three offerings will be in:

·  Information booth?

·  Package check Mercantile?

·  Calendar sales Mercantile?

4.  Opening Ceremony:

·  Do we want to send out “save the date” postcards/letters this fall?

·  Do we plan for more than 250? We expect large crowds (weather cooperating);

5.  Volunteers with Family Living Committee

·  Do we want each sub-committee to reach out and find own volunteers & do the scheduling? OR

·  Do we want a “Family Living Volunteer Coordinator”?

6.  Pierce/Any County FTD Disc – Do we have a copy anywhere to share?
