Stonewall Background Information

Stonewall was founded in 1989 by people whose aim was to create a highly professional lobbying organisation to put the case for equality on the mainstream political agenda. The organisation has become widely recognised for its work in transforming the legislative landscape for Britain’s 3.7m lesbian, gay and bisexual people including securing equal marriage in 2013. Our strategy is now to work to ensure equality in every part of the lived experience of LGBT people at home, at school and at work.

We work with a comprehensive range of stakeholders and are one of the most effective campaigning charities in Great Britain. Stonewall is at a crucial stage. The challenges that we face are complex as we attempt to ensure that every single lesbian, gay, bisexual and trans person achieves full equality. We have an ambition to reach further into our communities, sharing our knowledge, interventions and campaigns with the widest possible audience. We no longer have to just convince politicians; we have to convince the owner of the small business, the dad who doesn’t want a gay son, the priest who doesn’t know he has lesbian parishioners.

Events Officer - Role Description

The Events Officer will report to the Events Manager and will be responsible for a number of events and programmes for Stonewall’s Personal and Professional Development Programmes and Membership Programmes teams.

They will be required to deliver a number of events and programmes in order to empower individuals to effect change and meet ambitious income and audience targets. Events include, but are not limited to; conferences, residential programmes, youth events, launch events for guides, one day programmes and training events etc.

Key responsibilities and duties

·  Work with the Events Manager to plan, manage and develop both teams’ annual suite of programmes and events.

·  Produce event plans and monitor the development of each event from initial planning stages through to delivery, including venue sourcing and negotiation, ensuring objectives are achieved, advising the Events Manager of progress, and suggesting corrective action if required.

·  Support the Events Manager in the delivery of large-scale events across the year.

·  Ensure that all expenditure is kept within agreed budgets and is authorised by the Events Manager, monitoring expenditure and keeping accurate records.

·  Research and negotiate most cost effective options for all event operations.

·  Liaise with event sponsors, presenting a positive image as the point of contact for allocated events.

·  Coordinate and run meetings with staff to ensure that they are fully briefed on their roles and any information required to ensure success of events.

·  Recruit, brief, and support volunteers involved in events, from initial enquiry to post event stage.

·  Ensure that appropriate literature, fundraising materials etc. are provided at events.

·  Maintain comprehensive and well-organised administrative systems in line with the Events team procedures.

·  Learn how to use Stonewall’s CRM database, and eventually becoming a ‘super user’.

·  Undertake evaluation of events, including post-event debrief meetings, and if appropriate suggest improvements for future events.

·  Attend all events for which you have responsibility for, coordinating activities, staff and volunteers on the day. Flexible working hours and overnight stays as required.

Event development

·  Devise, develop and present creative and innovative ideas for events in order to maximise the opportunities to meet ambitious income and audience targets.

·  Maintain an up to date knowledge of activities of the events market and the activities of other charitable organisations to identify market gaps and new opportunities.

·  Remain alert for opportunities to secure event sponsorship and inform Events Manager.

Stakeholder management / engagement

·  Build an understanding of the work, requirements and priorities of Stonewall, including familiarity with key messages and campaigns, and their relevance to the work of the Personal and Professional Development Programmes. Be able to talk to participants and other contacts regarding Stonewall’s work.

·  Act as point of contact, internally and externally, for all events for which you have responsibility.

·  Ensure that the communications team is given updates on all activities and that media opportunities are maximised.

·  Facilitate the presence of communications staff at events and make sure that they are fully briefed on all requirements and opportunities.

General responsibilities and duties

·  Conduct the duties of the job description in accordance with the operational policies of Stonewall, including but not limited to the diversity policy and code of conduct.

·  Maintain good working relations with Trustees, staff, volunteers and other stakeholders.

·  Contribute to the general administration, well running and development of the organisation.

·  Be flexible within the broad remit of the post and offer support to team members and colleagues as required.

·  Be self-servicing and able to act on own initiative where necessary.

·  Undertake any other reasonable duties as may be required.


Events Officer Person Specification

·  Demonstrable experience of successfully organising a wide variety of events.

·  Experience of managing own workload effectively and planning & organising work to meet deadlines.

·  Demonstrable and sound experience of general office administration, including managing complex processes.

·  Able to communicate clearly and assertively with people at all levels.

·  Able to produce correspondence and promotional material in good clear English and to produce accurate work to a high standard at all times.

·  Able to keep thorough, accurate and up to date records.

·  Able to develop positive working relationships with a range of people internally and externally.

·  Based in the London office but willing to travel to attend events with occasional overnight stays.

·  Commitment to promoting an inclusive environment.

Events Officer Key Terms and Conditions

Working week This is a full-time permanent position, comprising a total working week of 35 hours. Stonewall’s normal office hours are Monday to Friday from 9.30am to 5.30pm, however the demands of this post require a flexible approach to both timing and duration of the working day.

Salary scale The salary will be £23,000 and is paid retrospectively on the 24th day of each month.

Annual leave 25 days annual leave (rising to 27 after three years service), three additional ‘Stonewall Days’ over Christmas and eight statutory holidays.

Pension Stonewall will contribute up to 9% of salary to the Stonewall Friends Life pension scheme.

Other benefits After successful completion of the probationary period you will qualify for: free health insurance, death in service benefit of two times your salary, interest free loan on travelcard, tax-free cycle scheme, childcare vouchers, and 24 hour employee support line.

Sick pay Prior to completion of the probationary period sick pay is at the Chief Executive’s discretion. Thereafter an employee who is absent from work due to sickness will be paid up to four weeks at full pay and four weeks at half pay in any 12 month period. After two years continuous service an employee absent from work due to sickness will be paid up to 12 weeks full pay and 12 weeks half pay in any 12 month period.

Probationary and The post is subject to a six month probationary period. During this period you will be

notice periods entitled to receive, and are required to give, at least two weeks notice of termination, which must be in writing. After successful completion of your probationary period you are entitled to receive, and are required to give, at least one months notice of termination, which must be in writing.
