- Group provided John feedback on the latest version of the Self-Assessment Tool
- Issues Identified:
1)VPN Access – Cariexperienced issues accessing tool through a VPN
2)Transitioning between snapshots – some members unable to open up the snapshot for a different topic bubble without first closing snapshot that is currently open.
3)Topic Bubble Issue #1 – when some members selected a topic bubble, an “overlaid circle outline” appears that does not match up with the outline of the relevant topic bubble that was selected.
4)Topic Bubble Issue #2–when some members selected a topic bubble, the snapshot for a different/non-selected topic bubble appeared.
- Example: selected the “Performance Management” topic bubble and the snapshot for the “Business Processes” bubble appeared.
5)Resource Links – Some resource links open a new webpage in the same tab as the Self-Assessment Tool, rather than in a new tab. When user “clicks” back button to return to tool all their information is lost (i.e. ‘snapshot’ previously open, resources in toolbox, etc.).
6)Toolbox – toolbox icon currently only appears when user selects checkbox for “PowerPoint: LIHEAP Regional Training Slides on Performance Measures (selected slides?)” resource under Performance Management snapshot.
Next Steps:
- John will look into these issues and work on addressing them by next Friday (10/23).
- Proposed updates to Tool:
1)Update format of ‘snapshots’ to reflect format of original snapshot (original snapshot example attached).
2)Have ‘snapshot’ resource links direct user to webpage in separate browser tab. Have linked webpage include a function to allow users to download a pdf of the resource to their toolbox.
3)Update the guided question boxes within each ‘snapshot’ to reflect the following functionality:
- Include a link next to each listed resource that allows users to previewthe resource when “clicked” (does not add resource to user’s toolbox).
- User “clicks” on the check box next to a resource to add it to the toolbox.
Example:
4)Include instructions in each guided question box that clarifies available functionality of resources.
- “Click” on resource link to preview resource.
- “Click” on the check box next to a resource to add it to the toolbox
5)Make resource links consistent across topic bubbles and ‘snapshots’ (e.g. “LIHEAP PM FAQ”).
6)Have notification appear to alert users if duplicate resources added to toolbox.
7)Add analytics to track what is being accessed and utilized.
8)Add resource upload functions to tool so others can share resources they have developed.
9)Add link that will allow grantees to access a Resource Guide that lists all resources available through the Self-Assessment Tool (for users who are not interested in working through tool).
Next Steps:
- John will work on adding these functionalities to the tool by next Friday (10/23).
- John will send Process Group members questions concerning their computer settings (i.e. web browser and screen resolution).
- This is to help John resolve some of the viewing and navigation issues highlighted above. This is also to ensure that the Tool is compatible with all potential web browser and resolution setting, utilized by users.
- Melissa will work on providing snapshots for remaining bubbles to John by next Friday (10/23).
- APPRISE and NCAT will focus some of their resources on assisting John with identifying and resolving general interaction and navigation issues above.

- October 23, 2015: John will complete display updates to self-assessment tool and send link to latest version of tool to other Process Group members
- October 26th - 30th: Process Group members will test latest version of tool and proactively provide feedback to John.
- Week of November 1st: Process Group will hold a follow-up call to discuss any final feedback they have for John.
- Trayvon – will send out a doodle poll to group members to ascertain best time to schedule follow-up conference call.
- November 9, 2015 – Target date for PMIWG testing.
- Group proposed having the following types of people test out the tool.
- PMIWG members
- New LIHEAP Directors
- Experienced LIHEAP Directors
- Directors new to LIHEAP, but experienced in social service programs
