EziTracker Mobile Timesheets Solution
EziTracker Mobile Timesheets Solution development is included in this Version of the software.
Upon receipt of Purchase Order for the development to Xpedite, you will receive further IT functions and separate documentation.
Interface to TRIM Document Management System
The use of the TRIM Interface function in Xpedite, requires a software purchase of the TRIM Launcher Application from Alpha West. Please approach Alpha West (Roger Hogg) directly on 03 8695 4111 for further details and costing for their component.
After this, please contact Xpedite for further details and costing.
You must be on at least Aged Care 6.6.4 and Register Maintenance 6.6.4 to use the TRIM button.
File Menu
Alert Manager (9834)
Added a new button to the toolbar to be able to view the Alert Manager.
The File menu, Alert Manager option is still there, and activates the same function.
There is no security on this button, as the Alert Manager is populated based on the users operator profile.
The button will be visible even if you have no alerts setup.
Defaults on Alerts (10010)
Requested by Yarra Ranges.
In the Operator Profile screen there are now methods to:
-allocate a Client Team as being the Default for that operator on the Alert screen
-allocate an Assessment Officer as being the Default for that operator on the Alert screen
-allocate a Staff Team as being the Default for that operator on the Alert screen
So when the user chooses a option on the Alert Manager screen, then the defaults will be populated based on what is chosen in that users profile.
If nothing is chosen in the users profile for that option, it remains as (All).
You don’t have to set all the Defaults, you can choose one or two or all three, as desired.
I chose ‘Assessment Reviews’ (A client option) as the option and the screen below auto populated the defaults in ‘Client Team’ and ‘Assess Officer’.
I chose ‘Staff First Aid Due’(a Staff option ) as the option and the screen below auto populated the default ‘Staff Team’ field.
Find Menu
Carer SLK (9864)
Requested by Gippsland Lakes.
In the Find menu, Carer SLK option, added fields to be able to search by Carer Name.
Case Management (10047)
Requested by Gippsland Lakes.
On the Find Case Management Service Agreement screen, made the window larger, and now displays the Debtor Rate of the CSA.
Debtor Rate nowalso displayed on the Maintain Case Management screen.
Added a button to the Search/Find Case Mgmt screen which is a Bulk Apply button
You can tick the clients to assign a Roster Period date and their Case Management Hours in one step.
Press Save once completed and the charges will be recorded.
Administration Menu
XML Data Path settings (9991)
New option added to Administration menu, Maintain XML Path Settings.
This screen is replacing the
-Removed Settings tab from Client XML File screen.
-Removed PDA Active Sync My Documents Directory from Operator Profile screen (via a script).
BEFORE YOU APPLY THIS UPGRADE TO LIVE, please take a screen shot or write down your current setting screen paths. Make sure you get the entire path name.
Once you have upgraded to Live, you will need to go into the new screen
and ensure those paths are shown in the same manner as what it was before upgrade.
[You should be able to copy the XML File Path and paste it to the Data Path and then add the /Data at the end of it.]
If you Apply Settings and the path is empty, the following message will appear
Bulk function (10026)
The Bulk Suspension by Service Date and Bulk Public Holiday Rosterable CSA Suspension screens have both had the Provision option added.
This would allow you to better choose which jobs you wish to bulk suspend.
Client Screen
Address order (10094)
Changed the order of the Address and Suburb and Postcode on Client, Staff and Contacts, to a more logical entry order.
Medications (9970)
The 2012SCTT forms have removed the Medications field from the forms.
Many sites have called me for advice on where to put Medications as the field is no longer there.
I have been recommending that people use the Comments field on the Health and Chronic Conditions SCTT form, as it is quickly accessible in the Health button and you can then compare medications from previous Assessments. However, your site may have chosen a different place to record this.
We’ve made some label changes that may help with the Medications being a little more visible (if you chose to record them as above).
-On the main system and the iPad, ‘Comments’ on the Heath Chronic Conditions SCTT has been relabelled to ‘Comments/Medications’.
The text capacity in that field is 1000 characters.
-On the Health button Comments field has been relabelled to ‘Comments/Medications’. This is a read only field, populated from the SCTT form data.
We cannot change the printout of the SCTT form itself, as we must stick to the provided format, so the printed/saved form will still say ‘Other and/or Comments’.
SCTT Form Health and Chronic Conditions (9906)

iPad SCTT forms (9907 & 9902)
Referral Project:
Complete the Carer Recipient and Employment questions on the iPad, it shows in the SCTT form wizard and on the print out but it was not updating the same field on the Household tab.
This has been fixed.
Assessment Project:
Complete the Lives With and Accommodation on Accommodation and Safety SCTT on the iPad, it shows in the SCTT form wizard and on the print out but was not updating the same field on the Household tab or updating the MDS button.
This has been fixed.
If Household set for Carer Recipient, when I send back an Assessment from the iPad it was clearing the Carer Recipient field on the Household tab.
This has been fixed.
Family and Social Network form on iPad: changed labels and sizing
Street Number and Street Name - now 35 characters
Suburb –now characters
State and Postcode –now 35 characters.

Added the debtor Description line to the bulk Debtors button in the Debtor Information section.
Added the debtor Description line to the single debtors button in the Debtor Information section.
Added the tick all and untick all button on the bulk debtors button.
Renamed the . column to 'Select' instead of the dot.
Funding Type – DVA Service Plans (10154)
DVA have introduced electronic lodgement of your DVA claims:see Aged Care Reports Release Notes for explanation on this. Due to this change, some missing and/or incorrect data adjustments will need to be made.
You MUST have the DVA number recorded in the field shown below for all Clients you are going to lodge.
The number must be 8 or 9 characters and have NO spaces.
You MUST have the DVA Service Plan number recorded for all Clients you are going to lodge.
We have changed the layout of the screen to better reflect the order or the Service Plans.
You MUST have the DVA Service Plan Option recorded for all Clients you are going to lodge.
If the Service chosen is PM or RC then you will need to go through and add an option to each (as per the Service Plan) , or it will not be able to be claimed.
Incompatibility (10002)

Staff Screen
Staff Memo on Timesheet (10027)
Added a section on the Staff Service Provision tab for a memo footer on the Staff Timesheet Report for each Staff Member.

Availability to Excel (9866)

CSA Screen
Occasional CSA changes (9800)
Requested by Maroondah.
If you replicated an occasional rostered CSA, and you change the date with a single click, the “Event will appear in week on the Working Roster” field may not have been updated.
The interim workaround was to double click the date field.
The system has been modified and now the single click on the date will update the field..
Display suspensions (9848)
Requested by Whittlesea.
Changed the way that the suspensions screen loads, as over time this list can build to be quite long.
New option is ticked by default- Display suspensions for past 90 days.
This shows back 90 days (end date) and all future CSAs or CSAs without an end date.
If you wish to view ALL suspensions, you can untick the option to display them all.
Property Maintenance Staff (9979)
Requested by Yarra Ranges.
On non rosterable (job sheeted) Property Maintenance CSAs, we have added to the PMJ tab, a PM Staff name section where you can use the binoculars to assign the staff member. It is not a mandatory field but can be entered here if necessary.
It will preload the Property Maintenance staff tab as seen below:
This may assist some sites with their current process, and allow faster bulk print out of Job sheets where multiple contractors are used.
Tasks Tab (9867)
Included a new data field on the left of the Tasks Tab, which will list all ticked items, in an easy to read alphabetic format.
You still select and deselect Tasks using the right hand side tick/untick.
For the new pane to refresh, you need to Save your tasks changes to update it.
Roster Screens
Regular Roster and Working Roster – Find screen (9805)
On both the Regular Roster and the Working Roster screen, expanded the length of the screen accessed when you press button.
You can now press the Enter key to invoke the Search after you entered in the Staff Number or Staff Name.
Regular Roster and Working Roster – Event Note (9905)
Increased the size of the Event Note field from 100 characters to 254 characters.
This applies to the Regular Roster, Working Roster and Timesheet display of the Event Note field.
Regular Roster and Working Roster – Add NCH to Multiple Staff (9908)
Requested by Whittlesea, Loddon.
On both the Regular Roster and the Working Roster screen, added to the Add non chargeable event (multiple Staff) function to record an Event Note against it.
This field is 100 characters and works just like the Event Note currently does on screen.
If entered on the Regular Roster screen it will be copied upon generate to the Working Roster screen and Timesheet screens.
If entered on the Working Roster screen it will be visible both there and on the Timesheet screen.
Regular Roster and Working Roster – Default to Staff Type (10028)

In the Administration Menu>Operator Profile, added a new settingto double click and select a default Staff Type as shown below:
On both the Regular Roster and the Working Roster screen, when you press Find Roster, the Staff Type will default to the option set for the user in the Operator Profile.
Regular Roster and Working Roster – Filter CSA screen (9872)
Changed the Service option to be able to select multiple services.
Working Roster – Filter CSA screen(10100)
Added new selection criteria to the Filter CSA Screen on the Working Roster, the tick box to 'Only show events on leave' . This new option is unticked by default.
This option will display the events with a Leave type.
Previously this option was only available on the corresponding report, so have added to this screen so users don’t have to print the report at all.
Timesheet Screen
Other Charges Funding Category (10000)

On the Find CSA screen, added the Funding Category (from the CSA) column, and removed the Stat Link Key column.
This should be helpful to those of you who currently look up the Funding Category on the Timesheet tab, write the CSA number down, then on this screen, locate the right CSA.
Tick the Display Payable Events by default (10052)

You can set the Display Payable Events to tick automatically when you open the timesheet screen.
This is set for each user, in the Administration Menu> Operator Profile/Security Access.
Food and Community Chef Screen
Permanent Choices screen changes (10120)
Requested by Bendigo.
On the Permanent Choices screen, it will display the on both the left and right panes, the meals which are set as the menu default in bold text, like it does on the Client Choices for Week screen.
On the Permanent Choices screen, amended the display to view CSA Days and Meal Count sourced from the CSA screen.
Display of Food/Community Chef Clients (10016)
Requested by Bendigo/Strathbogie.
There is now sites using both Community Chef and Food screens.
Have added an option at the Kitchen, to separate the displays for each, either Food or Comm Chef.
New option added to Maintain Kitchen called Type. This will be set to Both for all existing sites.
If set to Both, the Kitchen will appear on both Food Service and Community Chef buttons.
If set to Food Services, the kitchen will only appear under the Food Services button.
If set to Community Chef, the kitchen will only appear under the Community Chef button.
This display change flows down to the Client node, where it will check which Kitchen the client CSA is linked to, and only show the applicable clients on either Comm Chef or Food (or both if they have a CSA for each) screen.
Strathbogie and Bendigo you need to make sure you go and adjust these settings on your systems to restrict the views.

Import Menu process (10105)
After importing the Comm Chef menus there was some manual work required to remove certain items you didn’t use. By using these new options below, many of those items can be removed for you at import.
