BACKGROUND
With their headquarters based in Co. Dublin, Pieta House is a suicide crisis centre specialising in one-to-one counselling for people who are suicidal, people who have already tried to take their life, and people who self-harm, and we are delighted to announce we are coming to the Cork area.
Pieta House, an award winning charity, is looking for a part time, professional, discreet and highly competent receptionist to carry out usual reception and administrative duties, with special attention to being particularly kind to our specific client base.
Pieta House hopes to open its doors to clients in early December, but the recruiting of administrative staff will be taking place in the next two months, with a view to the successful person(s) starting when the Centre opens. As this Centre grows, so will your duties and hours, so we are looking for someone who can develop with this position.
MAIN RESPONSIBILITES
- Overall responsibility for the maintenance and smooth running of the Reception area. The role is front of house reception, with the responsibility for meeting and greeting clients often some of whom may be very vulnerable. Must be the “face” of the organisation.
- Answering the phones and transferring calls to the relevant company departments. Phone calls may be of a serious, emotional, and always of a discreet nature.
- Faxing, filing and general administration support to include looking after couriers, occasional taxi bookings, and supporting other administration staff
- Assisting Fundraising team with a small amount of administration support, but you will always need to be aware of big fundraising/marketing events to answer queries on the phone
- Occasionally ordering lunches/arranging lunches/ refreshments for meetings
- General office duties such as managing reception/kitchen/waiting room and garden area and keeping stock of and ordering stationary supplies
KEY SKILLS
- Excellent organisational and interpersonal skills
- Previous reception experience a distinct advantage
- Excellent telephone manner
- General administration experience is an advantage
- Excellent computer skills, mainly of MS Office, Word, Excel, and using templates
- Having completed and ECDL course is an advantage
- Excellent attention to detail and the ability to multitask and prioritise
- Friendly and outgoing and the ability to thrive in a very busy environment
- Excellent oral and written communication skills
- Must flexible and a team player, you will be working with someone else on reception at all times
REQUIREMENTS
The candidate should have great initiative and a pleasant, outgoing personality and being capable of operating with discretion and kindness is a necessity for this position. Training on the job will be provided, with additional training and supervision throughout the year, which you are expected to avail of.You will often be the first person a client sees when they come to our service, so you must be impeccably groomed at all times.
