ADMIN ASSISTANT
(Part-time, term-time)

The College is a vibrant learning community employing approximately 230 staff of which roughly half work in a support role. Set over 25 acres the site is diverse, offering a range of services to learners and the community. The Central Registry Team is responsible for the administration of student records, including applications, enrolment, registration, timetabling, leavers and references. There is also the requirement to provide accurate up to date student information to staff, students and external agencies. This vacancy has arisen due to internal promotion.

PERSON SPECIFICATION

We are seeking a flexible, enthusiastic and committed member of staff who will complement the skills of the existing team. The role is process driven so close attention to detail is essential. The College is a fast-paced environment requiring a positive ‘can-do’ attitude, a good and appropriate sense of humour and the ability to work flexibly.

The successful candidate will be able to evidence:

·  Meticulous attention to detail and accuracy

·  Being highly organised with good time management skills

·  Previous administrative experience

·  Good IT skills, including word processing, use of spreadsheets and database management

·  Being adaptable, flexible and able to work well as part of a team

Purpose: Central Registry is responsible for the provision of high quality student data. The Team are also flexible in their approach to supporting other departments/activities across College as the need arises.

JOB DESCRIPTION

Specific Responsibilities:

·  To assist with accurate data entry across the full range of student records

·  To assist with admissions administration in terms of application data and client contact

·  To assist with the administration of the College registration system

·  To respond to staff requests for information and reports

·  To respond to general enquiries (including external phone enquiries, reference requests)

·  To assist in the provision of student references to outside agencies

·  To assist with enrolment and other scheduled events as required

·  To assist with the input and maintenance of timetables

·  To ensure student manual records, and archives, are in good order

·  To assist support staff teams during pressure periods to help them deliver their services

·  To assist with other duties as may be reasonably expected commensurate with the level of responsibility of the post as directed by the Principal.

CONTRACTUAL INFORMATION

Salary: / Scale Point 18 of the Sixth Form Colleges Salary, currently £16,638 per annum. Please note this would be prorated for 46.2 weeks and 25 hours for working term-time and part-time.
Conditions of
Service: / Sixth Form Colleges Support Staff.
Start date: / ASAP
Working hours: / 25 hours per week. Preferably worked over Monday to Friday.
Annual Leave entitlement: / All leave is to be taken during College holiday periods most of which coincide with local school holidays. Entitlement to paid leave is included within the annual salary amount.
Other Terms and Conditions of service: / The successful candidate will have the choice whether or not to join the Local Government Pension Scheme. The College currently contributes a monthly sum equivalent to 19.1% of your salary, whilst staff at this salary level contribute 5.5 – 6%.
All College staff are required to apply for a DBS Disclosure. In addition, new legislation in the Safeguarding Vulnerable Groups Act will require you to register with the Disclosure and Barring Service.
Any offer of employment will be conditional upon a satisfactory Disclosure and a six-month probationary period.
