PeopleSoft Faculty Self Service

Each faculty member is assigned a unique User ID and Password to enter PeopleSoft. The Faculty Self Service is accessible through the following navigation:

Procedure – Accessing Self Service

After logging in to PeopleSoft, you can navigate to the Faculty Self ServiceLearning Management. A page similar to the one shown below, will display:

Recording Grades

The PeopleSoft Learning Management Self Service application includes a grade roster feature that enables you to enter mid-term and final grades directly over the web. In order for you to access the mid-term and final grade rosters, the Registrar’s office must:

Generate the rosters.

Assign the instructors to classes.

Give the assigned instructors appropriate Grade Roster access.

Once these three prerequisites have been completed, you may enter mid-term and final grades for their classes.

Procedure – Record Grades

  1. Navigate to Home SA Self-ServiceLearning Management >Management.
  2. From the Learning Management menu selection, click the Record Gradeslink.

The Record Grades page will display as shown below.

  1. Select a term from the Grade Roster Group Box.

The Select Grade Roster page,as displayed below, will show. If this has been setup correctly in Student Records, links to all the courses you are teaching for the term will be accessible.

  1. Select a class under Course Title by clicking the designated link for the course.

The Grade Roster page will display:

  1. The Approval Statusfield will default to Not Reviewed as highlighted in Figure 4.
  2. Under the Select Desired Roster (blue bar) click or the Last link to select the Final Grade roster under Roster Type as shown below.

  1. There is a Detail link for each student row beside the Designation field. Use this link to view the Student Enrollment Detail page. This page outlines Course Detail and Grade Detail for each student.

  1. Click to go back to the Grade Roster page.
  2. Specific Instructor notes for each student can be entered by clicking the designated Noteslink. This is located beside the Details link. Enter free-form transcript note text in the Transcript Notebox.

The system displays this text in addition to the predetermined transcript note ID text. Additional rows can be inserted by clicking on the button. Click the button to delete rows if needed.

  1. Click to go back to the Grade Roster page.
  2. In the Roster Grade field, click to view the grade selection and description lookup list.

  1. After all grade entries have been completed, in the Approval Status field, change the dropdown selection to Approved as highlighted in Figure 9.
  2. Click to save your entries. You will be unable to save the page until all grades have been entered when the Approval Status has been changed to Approved.

If the status is set to anything other than Approvedafter you completed grade entry, the grades in your course will NOT be picked up by the nightly process that the Registrar’s Office runs and will not be posted.

You may check the roster later to verify that your grades have been posted. The Official Grade should reflect your final entry before you changed the Approval Status to Approved.

  1. Click Select a Different Class to go back to the Grade Rosterpage.
  2. Select another course to enter grades for or click Return to Learning Management to exit out of the page.
