ESSENTIAL JOB FUNCTIONS
- Performs receptionist duties including answering the telephone, greeting visitors, and processing the daily mail.
- Performs Human Resource assistance to HR/Office Manager; build new employee files, maintain employee files, maintain data sheets for hire & term dates, maintain employee emergency contact list, type & mail COBRA letters, keep employee forms copied & maintained, organize & maintain prospective employee applications and schedule interviews.
- Maintains confidentiality with employee issues/relations.
- Responsible for submitting & maintaining all documentation for Workers Compensation claims/issues.
- Responsible for submitting & maintaining all documentation for OSHA reports.
- Coordinates meetings with employees to discuss HR issues. Documents and communicates the issues with HR/Office Manager.
- Schedules appointments, meetings, and coordinates conference calls. Maintains executive calendar.
- Assists in the preparation of quarterly board of director meetings booklet.
- Drafts and finalizes executive correspondence.
- Researches and arranges purchases for the executive staff and prepares expense reports.
- Responsible for ordering temporary employees from temporary labor service. Maintains temporary labor service records, accumulated hours and sends in time cards. Reconciles temporary labor invoices for validity.
- Oversees corporate fax machine and determines appropriate fax routing for action/informational purposes.
- Insures adequate supply levels and service on all printers, copiers, and the corporate fax machine. Orders all corporate stationery, including business cards.
- Sends packages via courier service.
- Manages employee pasta sales and office petty cash.
- Maintains Christmas card list & mailing.
- Maintains company kitchen, conference room & copy center in an orderly manner.
- Performs other duties assigned by the HR/Office Manager.
QUALIFICATIONS
Minimum Education: 2 year’s post-secondary education in business, or equivalent qualifications.
Minimum Experience: 3 year’s HR/office experience and 1 year’s experience in the purchasing process. Data entry experience.
Knowledge/Skills/Abilities: Must be able to work independently, and efficiently, and able to handle multiple priorities. Must have excellent oral, written and telephone communication skills.
Other Qualifications: Efficient in the use of computer automated systems and software, including spreadsheets, accounting and databases. Attention to detail is necessary.
