PhD Study Agreementgoverning the award ofa Joint PhDDegreebetween Aalborg University and “Name of University” for “Name of PhD student”

- Aalborg University, The Faculty of Social Sciences, hereinafter referred to

as “FSS-AAU”, hereby duly represented by XX,domicile: XX.

-“Name of University”, The Faculty of XX, hereinafter referred to as “XX”

hereby duly represented by XX, domicile: XX.

-“Name of PhD student”, hereinafter referred to as “the PhD student”, domicile: XX.

This agreement is valid only when entered into with reference to Co-operation Agreement Regarding PhD Studies (Framework Agreement)between FSS-AAU and XX. This PhD Study Agreement is subject to the provisions set forth in the Co-operation Agreement. This agreement is further subject to the Regulations regarding PhD Studies at the Faculty of Social Sciences as well as the Regulations regarding PhD Studies at XXX University.

The following has been agreed:

Article 1 – SUBJECT: JOINTSUPERVISION AND AWARD OF JOINT PHDDEGREE

AAU and XX hereby agree they shall jointly organise the supervision and the award of the PhD degree of XX.

The award of the PhD degree by AAU is conditional upon the rules set forth in the Danish Ministerial Order No. 18 of 14 January 2008.

Article 2 – SUPERVISION OF THE PHD STUDENT

A supervisor is appointed from the teaching staff of the Doctoral School of Social Sciences, FSS-AAU. A supervisor is also appointed from XX University.

The PhD student is to be supervised by the following supervisors:

The supervisor from AAU is responsible for ensuring that the PhD education meets the demands of the Ministerial Order on the PhD degree. The supervisor from XX University is responsible for ensuring that the rules regarding PhD education in XX country is met.

In case of disagreement between the two supervisors the rules of PhD education at FSS-AAU and XXX respectively shall be consulted. The Doctoral Programme responsible at both institutions shall function as mediator in case of disagreement.

Article 3 – ENROLMENT TO PHD STUDIES – SUBJECT OF THE PHD THESIS

The PhD student is to be enrolled in The DoctoralSchool of Social Sciencesat Aalborg University. Enrolment is subject to the rules set forth within theDoctoral School of Social Sciences, FSS-AAU. Furthermore the PhD student is to be enrolled in xx and will be subject to the rules set forth within xx.

Article 4 - TIME SCHEDULE

State the periods to be spent at AAU and XX University, respectively, including milestones to be achieved during the stays at each institution.

Article 5 – FINANCIAL ASPECTS

Fill in regarding financial aspects if deemed necessary, i.e. regarding the PhD student’s stays at the partner institutions as well as necessary travels made by the supervisors.Suggestions for topics to be covered are presented below.

The salary and other costs, including supervision hours in connection with the PhD study and the awarding of the PhD degree, shall be divided proportionally between the two universities subject to the extent of the enrolment period for the PhD student ateach university (such as 1.5 year at AAU and 1.5 year at XX University).

Expenses defrayed in connection with supervision and defence of the PhD thesis, such as travelling expenses, shall be paid by the university having employed the supervisor in question.

Article 6 – SUBMISSION AND DEFENCE OF THE PHD THESIS

The submission and the defence of the PhD thesis areto take place according to the rules in the Ministerial Order on the PhD Programme as well as the rules in xx.

The assessment committee shall be appointed by both AAU and XX University upon endorsement from the supervisors. Appointment at AAU follows the rules of The Doctoral School and appointment at XX University follows the rules of XX.

If possible, a copy of the assessment committee’s deliberation report is to be provided to the bodies in charge of administering the students concerned and their diplomas within each of the partner institutions. If necessary, the deliberation report is to be translated into one of the national languages as used by the other institution(s) or in a lingua franca.

The PhD is to be written in [a national language as used by one of the partner institutions OR a lingua franca by mutual agreement between the PhD Student and his/her supervisors OR another language at the request of the PhD Student with the consent from the supervisors OR another language as imposed by the supervisors.]

Article 7 – AWARDING OF PHD DIPLOMA

If the PhD student successfully passes the public defence following the requirements in the Ministerial Order on the PhD Programmehe/she shall be awarded a PhD Diplomaissued jointly by Aalborg UniversityandXX University. The PhD Diploma shall be issued in English, Danish and xx language.

Article 8 – Insurance

The PhD Student undertakes to make all steps necessary in order to arrange due health insurance, insurance cover against physical injuries and civil liability whilst performing his/her duties pertaining to the doctoral research at the partner institutions involved, in pursuance of the rules and regulations that apply with the institution(s) concerned and in compliance with national statutory regulations as applicable in the institutions involved.

Article 9– TERMINATION

In the event that the PhD student terminates his/her employment at XXX or in the event that he/she decides not to complete the PhD study, XXX may terminate this PhD study Agreement with XX months’ notice. The amount already paid to FSS-AAU by XXX, will not be refunded regardless of the fact that it was meant to cover future supervision.

The present Agreement is set to take effect on [date] and to terminate on [date] at the latest. In the event the PhD Student has failed to defend the PhD thesis before this date, the agreement may be extended with the consent from all parties involved.
