Welcome to the den!

Dear Parents, Guardians and Carers

I’m delighted to welcome you and your child to the Ouseburn den.

We’re here to provide a safe, friendly and secure environment for your child, which in turn will help develop their full potential through positive, social, emotional, physical and intellectual experiences. Put simply for your children – the den is fun!

Here’s just a selection of some of the activities we offer:

Arts and Crafts – Tie dye T-shirts; painting; balloon modelling; collages; junk modelling

Board Games– all the traditional favourites such as Monopoly and chess, as well as some of the more modern ones

Construction Activities – Lego; K-nex; jigsaws; puzzles

Nintendo Wii – where the children challenge the staff to beat their scores! Internet games are also played

Outdoor play – lots of games to play outside to burn off all that energy

Chill Out Zone – A place to relax, read, play cards or listen to some music

And we’re always open to ideas and suggestions from the children and their parents, guardians and carers so we keep the den evolving and providing a great environment for all who use it, so please do come forward with any that you have!

This pack has been designed to give you all the information you need about how the den works and to give you peace of mind about the safety and security of your child.

Points to note:

Fees are payable in advance

Payments can be made by cheque, ParentPay or cash, but please be aware school can only handle small amounts of petty cash at a time, so we recommend you only pay this way for small/last minute sessions

Fees are payable for sessions you have booked via the ‘Booking Form/Invoice’ and not attendance – no refund or exchange of days, therefore, is given for sickness and associated absences

In exceptional circumstances, if a request is made in advance we will endeavour to accommodate a “like for like” swap of sessions, due to a parent’s unexpected change of commitment. However, this is only if there is space available and cannot be guaranteed

Ad hoc and/or last minute bookings may be made, but are again subject to availability and should also be paid for in advance

Fees are reviewed periodically. Any change will be notified to parents two months prior to the introduction of the change.

Loyalty Voucher Scheme

Your loyalty to the DEN is rewarded! For every tenFULLsessions paid for, one session will be given free of charge. (Short sessions are classed as half sessions. Two short sessions paid for will be counted as one session towards the ten).

When you qualify, you’ll be given a voucher that you can use to pay for one full session in the coming month. All loyalty vouchers must be used within one month.

Conditions of Placement
/ FEES
Fees are payable for sessions booked on the ‘booking form/invoice’ and not attendance – no refund or exchange of days, therefore, is given for sickness and associated absences. Loyalty is rewarded, so for every ten sessions paid for, one session will be given free of charge (One session = one afternoon or two morning sessions. Free sessions must be redeemed within one month)

/ OPENING TIMES
The den is open between 8.00am and 8.45am and 3.20pm and 6.00pm – term time only.
/ COLLECTION OF CHILDREN
Children will not be allowed to leave with anyone other than the parent/carer (as stipulated on the Emergency Contact form) unless prior notification is given to the Den Leader or School Secretary, by the parent/carer themselves.
In summer time the children will more than likely be outside, this means the main gate will be locked, parents are asked to please use the front gates along the side of the school – we ask you to please respect this as it is in place for the safety of your child(ren).
/ ILLNESS
We ask that the minimum periods of exclusion from a child care setting for illness and communicable disease is respected (see enclosed info. sheet).
Please note that we are unable to administer Calpol ourselves although we will administer prescribed medication if clear instructions and information are given by the parent/carer.
/ MEDICATION
We ask that medication, where possible, be given at home. We can only administer prescribed medication and, in these cases, we ask that all medication is clearly labelled with your child’s name, times to be given, time of last dosage and amount to be taken. When bringing in medication, it must be handed to the appropriate member of staff (e.g. the Den Leader if your child is attending the den before school, and the school secretary if he/she is only attending the afternoon session – in the latter case, the school will pass on the medication and instructions to the Den Leader).
/ WORKING AND PLAYING TOGETHER
The expectations and ethos of the den closely reflects those of the school in terms of supporting a family atmosphere and to model to all children to value differences and working with others. We would ask that parents support us in promoting this.
/ POLICIES
The den works within the boundaries of school policies, in addition to those policies specific to the den. If you require sight of particular policies, please speak to the Den Leader, in the first instance.
/ TERMINATION OF PLACEMENT
One month’s notice is to be given in writing if you wish to withdraw your child’s place from the den – verbal notification must be confirmed in writing.
The den also reserves the right to terminate a placement agreement at its discretion.
/ GENERAL
No sweets are allowed at the den – a healthy snack will be given to your child during each session.
We are also well equipped to cover all needs with regard to utensils, play equipment, etc and we therefore ask that personal property is not brought into the den, unless the Den Leader has specifically requested your child may do so (for example, a ‘Show and Tell’ day).

Educational and/or Outdoor Visits

We are required by North Yorkshire County Council to obtain your consent before a child undertakes an educational visit or outdoor pursuit. Consent Form to use a
Photograph or Image

Photographs and Images:Increasingly, computers and related technology are making it easier to use pictures and images in printed materials or on websites. As more and more people now have home computers we need to take steps to prevent photographs and images being wrongly used. We take the issue of child safety very seriously and will not use an image of your child without your prior consent. This is a general consent form to enable the den, official County Council photographers or authorised press photographers to take and use photographs of your child individually or in a group. There may be occasions when it is intended to use a photograph or image that identifies your child by name e.g. as part of a newspaper article, or is to be used in a particular context. In these instances you can indicate whether you would be happy for the Play Leader to use his/her discretion in the matter or whether you require the den to seek your specific permission.

Videos: Although there is no difference in the principle of use of electronic images on a website and use in a video, some parents/guardians may have concerns about other individuals videoing their child while participating in school activities. Therefore, it is proposed to give you the opportunity to withdraw your child from activities where videoing will be allowed by the den.

Please note: This consent is considered valid for the time your child is registered at the den shown above unless you specifically inform the den in writing of withdrawal of consent. Some photographs and images may be retained by the den as part of its historical record. If, once he/she has left the den, you or he/she wish to have destroyed any photograph or image showing your child individually, you should inform the den in writing.

Minimum Periods of Exclusion from the den for Illness & Communicable Diseases
