General Information

DIRECTIONS: To get to the Wenatchee Convention Center, take US-2, continue onto N. Wenatchee Avenue. Their address is 121 N. Wenatchee Avenue, but the parking lot is on the opposite side of the building.

LODGING: We have a room block (held until March 25th)at The Coast Hotel, 201 N. Wenatchee Avenue,right next to the Convention Center. You may call the hotel directly at (509) 662-1234. Be sure to reference “United Church of Christ” to get our discounted rates.

Single/Double Occupancy - $112.00

(plus tax and tourism fee)

Hotel Amenities: Newly renovated guest rooms. Free high-speed wireless Internet access, free parking, free citywide & airport shuttle, fitness center, business center, unique indoor/outdoor pool with hot tubs. Pets invited. Rivertop restaurant serves Breakfast 6:30am – 10:00am, weekends 7:00am – 11:00am. Dinner is available at 4pm in the beautifully renovated Restaurant and Lounge.

Services/Amenities in Rooms: Sealy extra plush mattresses, room service, flat screen high def TV’s, telephone data ports, high-speed, wireless Internet access,refrigerator, coffee makers, work desk, and daily laundry valet service.

VOLUNTEER OPPORTUNITIES: This year there are many opportunities to volunteer and connect with other PNC members. Please review the Volunteer Request Form and consider how you may be able to assist with this year’s meeting. Your help will be much appreciated!

REGISTRATION: Earlyregistration deadline is Wednesday, April 3, 2013. We will do our best to refund any money if unexpected circumstances require you to cancel. Cancellations made by April 18thwill be charged a $20 processing fee; after April 18ththere will be no refunds. This year we hope to have online registration as an option through the same process as camp registration.

MEALS: Meals offered as part of the meeting go hand in hand with the use of the facility (registration fees) and the discounted hotel rooms. When meals are dismissed as too costly and not purchased, please know future registration fees may increase as a result. It is a balance to keep the fees as low as possible and still have a nice venue for our gathering. Please indicate on the registration form if you would like the vegetarian options or have other dietary restrictions. We are grateful that catering has indicated that they will meet medically necessary food alterations if the request is in by April 1st. Please note: It is not possible to order or change your meal choice after April 18, 2013.

CHILDCARE: Each infant or child through grade 5 must be pre-registeredso that we have adequate supervision. Please fill out the childcare registration form. Childcare is available during select portions of the weekend. Please check with the childcare providers for the exact schedule. Confirmation of enrollment will be made through the childcare provider. Parents will be responsible for their children during meals and evening activities. There are no registration fees or childcare costs for children in childcare;however, hotel charges and meal costs are the parents’ responsibility.

WORKSHOPS: Many wonderful workshops are available in two sessions. Please be sure to indicate on the registration form your first and second choicesfor each session. Space may be limited and workshop space will be allocated to different workshops based on overall selection.

DELEGATE DESIGNATION: Local church pastors and staff are asked to appropriately disseminate all Annual Meeting registration information to their delegates. If you are uncertain whetheryou are a delegate, please check with your local church office.

The following, based on the Conference by-laws, is provided for your information:

All clergy with standing in the Pacific Northwest Conference are considered to be delegates. They are not counted in the delegate designation from the local church. The method for determining delegates is:

  • Three lay delegates per congregation, PLUS
  • One additional lay delegate for each 100 members (or fraction thereof) above the first 200 members of that church, PLUS
  • One additional lay delegate to be under the age of 26.

The last available annual yearbook statistics will be used as the basis for computing the number of delegates.

Delegate voting cards will be available at the registration table. Please designate one of your delegates to pick up the voting cards, then distribute them to the other delegates. Your church’s Fellowship Dues must be paid to the Conference before Annual Meeting in order for your delegates to be able to vote. Delegates will not be able to pick up their church’s voting cards until these dues have been paid.

DISPLAY TABLES: You must pre-register for a display table through the conference office y April 5, 2013. Display tables will be on a first-come, first-served basis and can be set up Friday about noon. There may be a volunteer on-site to help out.
