Job Title:Clerk/Typist

Department:Planning/Codes

Reports To:Associate Director Planning/Codes

Status:Exempt full-time

Effective Date:July 18, 2014

Applications will be accepted for the full time position of Receptionist/Clerk until August 1, 2014. Duties may include answering telephone, filing, making copies, data entry, typing, preparing mailing, and various office applications. SUMMARY:

Answers phone, greets visitors, schedules inspections, files, compiles data, produces correspondence/reports, performs data entry, and other clerical duties as needed. Operates computer, typewriter and other office machines.

ESSENTIAL DUTIES AND RESPONSIBILITIES may include the following. Others may be added.

Types reports, business correspondence, and other material; Writes, types, or enters information into the computer to prepare correspondence, test data, or other various reports and documents; performs data entry.

Files records and reports, posts information to records, sorts and distributes mail, greets visitors, schedules appointments, coordinates meetings; Processes records and data, in accordance with applicable law. Maintains records in a secure environment; Copies information, proofreads records or forms, and sorts, files, and locates records.

Operates facsimile, typewriter, computer, copier machine, calculator, and other office machines.

Answers phones, records messages or complaints, accepts plat and zoning submittals and forwards to the appropriate office; Communicates with employees, applicants, administrators, and other persons relaying general information.

Prepares and distributes OMPC and OMBA agenda packets

Prepares adjoining property owner letters and prepares variance and conditional use certifications

Prepares 140 Land Use Restriction forms

Forwards zoning recommendations to legislative bodies

Runs errands, which may involve driving a vehicle.

Performs various projects as directed by the Director/Associate Director's (e.g., assists with preparing for luncheons, workshops, special events, etc.).

Cross-trains with the department secretary to be able to fill in during absences

Assists or assumes duties/responsibilities of other department members as needed/directed.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

High School diploma or General Education Degree (GED); or six months clerical experience; or equivalent combination of post-secondary education and experience.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret documents such as procedure/policy manuals and routine reports/statements. Ability to write routine reports and correspondence. Ability to effectively present information and respond to questions from employees, managers, and the general public. Strong oral, written, and listening skills required.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems, deal with various concrete variables in situations of limited existing standards. Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS:

Valid driver’s license required.

OTHER KNOWLEDGE AND/OR SKILLS:

Ability to effectively use various personal computer applications such as word processing programs, and other modem office equipment such as fax machines, calculators, etc. General knowledge of computer systems and methods.

Ability to manage time effectively and efficiently. Ability to maintain confidentiality, be detail and team-oriented, demonstrate a positive working attitude, and a courteous customer-service oriented attitude.

Strong typing skills.
