Position Description
Job Title:Accounting Assistant/Office Supervisor
Department:Finance
Reports To:Director of Finance
FLSA Status:Non-Exempt
JOB DESCRIPTION SUMMARY
Responsible for all accounts payable transactions and supervising clerical staff.
PRIMARY DUTIES and RESPONSIBILITIES
- Prepares deposits from mail receipts and miscellaneous payments
- Reviews and allocates expenses for supplies and snack to appropriate accounts.
- Plans snack menu for sites that fit budget criteria, order and coordinate delivery to sites.
- Prepare and submit grant reimbursement request for food program.
- Tracks and logs all of the organizational fixed assets in depreciation schedule.
- Supervises clerical assistants and office volunteers.
- Works with Club and maintenance staff to ensure facilities and vehicles are maintained. Reports any needed repairs to the Facility Manager.
- Online pay, call, fax, auto pay. Reconcile credit card statement to General Ledger web site pay. Reduces bank cash balance reduces liabilities credit card.
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Maintains appropriate level of expertise on network to assist network administrator.
- Serves as the first contact for Head Start staff with building issues.
- Serves as back up support for check runs and credit card payments.
- Primary back up support for reception area.
- Assistsin Club fundraising activities
- Willingness to work as a team member using a positive approach to offer suggestions and work with team to achieve continuity.
- Maintains electronic storage database.
- Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, and ABILITIES
1.Experience with purchasing, vendor relations, and accounts payable.
2.Strong computer knowledge, customer relations, organization, and time management skills.
FORMAL EDUCATION and WORK EXPERIENCE
EducationAssociate’s degree, or equivalent, with an emphasis in accounting or business
ExperienceOne to three years of job experience and/or training
FUNDAMENTAL RELATIONSHIPS
Maintains close daily contact with Club staff and supervisor to receive/provide information. Maintains contact with vendors, consultants, auditors, and service providers.
PHYSICAL REQUIREMENTS
Visual:Normal acuity required daily for making color distinction, depth of sight, preparing/analyzing figures, computer use,and written records 8+ hours
Communication: Able to express thoughts and ideas in an accurate and understandable manner through verbal and written format with internal and external contacts 4-6 hours per day
Movement:Ability to maneuver within work site 6-8 hours per day
Lifting/Pulling/Pushing/Carrying:Able to comfortably move and manipulate up to 50 lbs of weight up to 3 hours per day
