OVERALL ROLE OBJECTIVE:

The post holder will provide support for the Logistics Department and will be responsible for the effective co-ordination of activities associated with ensuring Customs compliance. The post holder will also be responsible for the introduction of a range of HMRC procedures and schemes pertaining to customs import and export activities.

The post holder will be involved in the implementation and ongoing management of Customs special procedures including, Authorised Economic Operator, Customs Warehouse and Inward Processing Relief. The post holder will also be responsible for the issuance and management of the customs clearance instructions.

The post holder will require a full working knowledge of Customs procedures and regulations to allow them to communicate with Project Managers and Product Supply Managers, and engage with customers in relation to new and existing supply chains.

JOB SPECIFIC RESPONSIBILITIES:

The post holder will:

1.  Research and understand the role of the Authorised Economic Operator (AEO), Customs Warehouse and Inward Processing Relief (IPR) and be involved in the application process, and ongoing maintenance of these procedures for Almac Pharma Services.

2.  Advise internal departments and customers of new and revised customs procedures affecting their processes and documentation.

3.  Issue and maintain customs clearance instructions for shipments to Almac Pharma Services.

4.  Assist with the management of the legislation requirements for material movements

·  Maintain a current working knowledge of international material permit regulations e.g. lactose & gelatin permits, controlled drugs, dangerous goods, Certificate of Origin, EUR1 forms

·  Maintain a current working knowledge of all relevant import and export regulations including VAT (or equivalent) regulation.

5.  Support the department managers within the Logistics Department with the delivery of customs procedures, to enable the individual functions to successfully integrate new processes as a result of customs procedures into the department.

·  Maintain a thorough knowledge of all shipping solutions available e.g. temperature controlled shippers, active shipping solutions and temperature monitoring solutions

·  Maintain a current working knowledge of all customs and transport regulations.

6.  Represent the Logistics Department in internal meetings relating to the ongoing management of new business projects and ensure the relevant information is shared with the appropriate Logistics personnel.

7.  Communicate effectively with the relevant internal customer contact, especially Project Managers and Product Supply Managers, regarding new business projects. Ensure they are provided with all of the relevant information that they require.

8.  Manage the supply chain qualification for existing clients and new business projects:

·  Engage with customers as required to develop bespoke distribution and customs solutions for their product. Manage the supply chain design and qualification process including product specific Risk Assessments and Performance Qualification Protocols for overall supply chain qualification

9.  Manage the GDP requirements for existing clients and new business projects:

·  Compilation and management of Receiving Instructions and Distribution Instructions

·  Compilation and management of shipping documentation templates

·  Ensure compliance with designated material storage conditions

10.  Responsibility for managing the QMS requirements of the Logistics department including;

·  Generation and review of Standard Operating Procedures

·  Deviation, CAPA and Change Request management

·  Ensure all QMS documentation is appropriately completed in an accurate and timely manner

·  Ensure effective measurement and communication of all compliance issues

·  Ensure regular and effective trending of Logistics training requirements, including monthly KPI reporting

11.  Maximise efficiency through successful time management and the ability to prioritise daily activities independently.

12.  Fulfil any necessary administrative duties in relation to the Logistics activities as required.

This role requires coverage beyond normal working hours on a regular basis and it is a condition of your employment that you are able to fulfil this requirement of the role.

Previous experience of data analysis
Previous experience of compiling technical documents.
Previous experience of working in a pharmaceutical or regulated operational environment / Working knowledge of EU and UK Customs legislation including implementing processes to support customs regimes and procedures
Experience of working with Duty Management software or working directly with Customs Clearance systems
Working knowledge of international material permit regulations e.g. lactose & gelatine permits, controlled drugs, dangerous goods
Working knowledge of temperature controlled systems and supply chains.
