Procedures for SMILE Clubs

Please read this to your club before leaving for Monmouth.

SMILE staff, students, teachers, and chaperones are the guests of the Oregon Military Academy (OMA), and we are each responsible to abide by the guidelines they have set. As we interact with each other and those at OMA, Western Oregon University and Oregon State University, we need to be conscious of these responsibilities.

Basic Procedures:

•No food of any kind is allowed in the rooms at any time!

•Smoking or the use of alcoholic beverages is not permitted by anyone, at any time or in any place.

•If you allow students to bring radios, portable cassette tape, CD or DVD players, electronic games, or similar entertainment items for the drive to and from the challenge, we ask that you collect these items as the students disembark from the vehicle and return them for the trip home.

•After returning from recreation, students should stay in their assigned bunk/bath areas, unless they are accompanied by an adult chaperone.

•Bunk areas need to be cleaned by the group(s) staying overnight in the bay. The cleaning should be done before they go to breakfast. Cleaning supplies are in a closet near each bathroom.

•Each person staying overnight for the challenge needs to bring a sleeping bag or bedpack, pillows, towels, basic toiletries and clothes.

Wednesday Evening:

•The bays are large and will be shared by one or more groups.

•Please be courteous and respect the desire of others in your bay to get a restful sleep.

•Each person should complete their going-to-bed procedures and be settled for the
night by 11 p.m.

•Adults in the bays are in charge and have responsibility for supervising all
students in their area.

•Quiet conversation may continue until 11:15 PM. Quiet conversation is not audible
outside of the bay.

•The overnight SMILE staff should not need to reinforce this rule but will if needed.

Thursday Morning:

•As you wake and look toward the day, please have students remain in their bunks or move about very quietly in the bay before 6 a.m. Every person needs to be getting ready no later than 7 a.m.

•You should start by packing up and cleaning up in your bay. Every person should be involved in the clean up of the group’s bay. Make sure the overnight SMILE staff checks your bay before you leave for breakfast.

•Before going to breakfast, all bags and personal bedding should be packed on the vehicle for travel to OSU. You should arrange for your bus to be available for loading by 7:15 a.m.

•Your group should arrive at breakfast no later than 7:45 a.m. Breakfast is available starting at 7:15 a.m.

• Your bus should be packed, students loaded, and the group ready to leave for OSU by 8 a.m.

•You need to arrive at OSU by 8:30 am. To ensure that you are on time, allow at least 30 minutes for the drive. Should your group arrive before 8:30 am, take the students for a walk about campus. Watch the time carefully so you are not late getting back.

•Remind students to bring coats or jackets; they will be walking around campus in the afternoon.

•Instruct the bus driver to drop off students at the MU Horizon Room on Jefferson Street. Luggage should be left in the van or bus. Buses and vans may park on campus. Buses must park along 26th Street by Reser Stadium. Vans or cars require an OSU parking permit.
