Business Meeting Minutes
Thursday, May 15, 2014

Call to Order: The board meeting of the Oregon Association of Medical Staff Services was called to order at 12:45PM by Sue Westerfield, OAMSS President, at Hood River, OR.

I. Minutes: Julie McCann, OAMSS Secretary, reported that the 2013 business meeting minutes were not available and would be emailed out to the membership for review after the conference.

II.Introductions:Sue introduced the 2014 OAMSS Board members: Harley Farley, Past President; Katherine Stenkamp, Incoming President; Julie McCann, Secretary; Donna Nichols, Treasurer; and Nita Patterson, Membership Chair.
Acknowledgements:Sue recognized the first time attendees attending the Conference. Amy Lyons from Legacy Health was recognized as the recipient of the Member Refer a Member Conference Registration winner. Newly certified members and first time attendees were recognized.
Donation Recognition:Sue recognized all entities that donated to help support this year’s annual conference. Sue thanked and recognized the speakers and sponsors. Sue noted that we could not have done it without them.

III. Treasurers Report:Donna, OAMSS Treasurer, presented the OAMSS Banking report 2013 and 2014 year to date. Donna noted that this report does not reflect the expenses yet to accrue for this conference. Donna reported that all monies have been recovered from the 2013 misuse of funds and that the NAMSS Ethics Board was notified and appropriate action taken against the person who inappropriately used OAMSS funds. Donna also reported that OAMSS has reapplied for their tax exempt status with the IRS.
Action: It was moved and seconded to approve the financial report, motion was voted and passed.

IV. Membership Report:Nita, OAMSS Membership Chair, reported that OAMSS is strong at 125 with 28 new members. Member Refer a Member giveaway: Nitaannounced the Member Refer a Member winner for the 2015 conference registration was Amy Lyons with Legacy Health. Amy referred four new members. Sue will send a certificate for registration to Amy notifying her of her conference attendance 2015 award. Over half of the OAMSS 2014 membership are certified. We have 45 members that are certified CPCS ; and 21 that hold the CPMSM. Of those members, 10 hold both certifications. We have two honorary members -- Darlene Ditsworth; and Nancy Lehrbach.

V. Election:Harley reported that there will be two 2015 open board positions for election. President Elect and Treasurer. Harley asked the membership to consider nominating or running for the positions themselves. Harley recognized the members in volunteer positions and thanked them for their contribution:
Librarian – Darlene Ditsworth
Newsletter – Trixie Ortiz
Scholarship – Dorothy Reichers
Webmaster – Susan Sautter
Special Project Consultant – Ann Klinger
Policy Task Force Leader – Donna Nichols

VI. 2015 Conference Update:Katherine reported that the decision to pursue a joint conference in 2015 with WAMSS has ceased. The pre-pay costs were unreasonable. Katherine suggested Central OR, Sun River area, as an option and asked that any suggestions/comments regarding the location be sent to her.

VII. General Business: Sue reported the need for OAMSS policy review. She reported that the Board has created a policy task force leader, Donna Nichols, to lead efforts to update policies and create specifically a new policy regarding the reimbursement of conference registration fees. Sue asked for volunteers to work with Donna. Barbara Rietzenstein, Amanda Walker, Tory Kiekhaefer and Trixie Ortiz volunteered to work with Donna over the next year on OAMSS policy review.

Adjournment: The OAMSS annual business meeting adjourned at 1:21PM. Next meeting will be at the OAMSS 2015 Annual Conference.
