Operations Support Specialist

Reports To:Director of Operations

Position Summary:

The Operations Support Specialist is responsible for providing operational support and training for all practice locations. This position will assist the Director of Operations in developing and standardizing operating procedures, analyzing practice operations and implementing changes necessary to fulfill both short and long term organizational goals.

Essential Position Functions:

In order to provide efficient operations, quality patient care and patient satisfaction and meet regulatory requirements, the Operations Support Specialist performs the following duties:

Practice Support Duties:

-Assures delivery of exceptional customer service standards to our patients, physicians, and team members.

-Analyzes practice operations and works closely with the Office manager to identify operational deficiencies and implement process improvements to maximize the efficiency of the practice.

-Develops a data quality monitoring protocols.

-Oversees and ensures practice compliance in regards to HIPAA and OSHA.

-Identifies training needs for staff and provides or secures training for team members to strengthen the mix and level of skills within the team.

-Provides appropriate orientation, training and support to managers and new employees.

-Works closely with the Director of Operations and Office Managers to motivate and develop staff providing a positive work environment.

-Assures that all patient demographics and insurance is entered into the computer timely and accurately. Works closely with the Office Manager and Billing to correct any problems or issues and assures that any requests from Billing is handled timely.

-Assures that charges and payments are posted daily and accurately and established end of day balancing protocols are followed.

-Assures that all surgery charges are entered within the same month.

-Assists in the development and implementation of organizational policies and procedures.

-Updates or makes changes to the physician schedules upon requests.

-Exhibits personal, professional accountability and code of conduct.

-Supports management goals and objectives

-Works to satisfy the expectations of the patient.

-Maintains strict confidentiality

-Builds effective relationships with physicians and staff resulting in cohesive, and cooperative and communicative work force within the organization

-Analyzes problems, identifies alternative solutions, projects consequences of proposed actions and implements recommendations in support of goals.

-Performs other duties as required.

Supervisory Duties:

-None

Position Requirements:

-High school education or G.E.D. equivalent.

-Three years operational experience, services and activities of a medical practice along with prior supervisory/management experience in a medical practice is preferred.

-Possesses the sense of discipline to work in accordance with accepted professional standards.

-Understands principle of supervision, training and performance evaluations

-Experience and knowledge of computer software applicable to the organization including MS Office, practice management systems, and EMR applications. Becomes an expert in all practice application solutions.

-Comply with all regulatory requirements including OSHA, maintenance of clinical skills and certifications, etc.

-Capability of dealing tactfully and effectively with patients, family members, employees and physicians.

-Understands pertinent Federal, State and Local laws, codes and regulations.

Working Environment:

•Ability to grasp with both hands; pinch with thumb or forefinger; turn with hand/arm; reach for (above shoulder height).

Vision:Adequate to perform the essential functions of the job such entering data into the computer, reading small print on insurance cards.

Hearing:Adequate to perform the essential functions of the job such as answering the telephones and scheduling appointments. Communicating with staff, physicians and office managers.

CommunicationAdequate to perform the essential functions of the job such as providing patient education regarding treatment plans/regimens. Communicating to physicians & employees.

Dexterity:Adequate to perform the essential functions of the job such as preparing charts.

•Position requires individual to be dressed in uniform or business casual 100% of time.;

•Exposure to hazardous materials. These materials are primarily laboratory reagents and cleaning and disinfecting solutions.
