Online Sanction Application

Instructions

Begin by going to . Select the “TennisLink” tab from the menu on the left. Click on “TOURNAMENTS” (under the TennisLink Heading) on the left, and a new window will open with the General Searchable Schedule. Scroll down and click on “Login” under the Administration Link on the bottom right of the screen.

A Schedule Administration Login screen will open. If you have accessed this page before, please log-in using your member organization’s USTA # and the password you chose. If you have not accessed this page before, you must use the member organization’s USTA number for both your login and password. The system will then prompt you to change only your password – please make a note of your new password.
Note:1. If you’re not able to login because you are a new tournament director and we have not set you up in our system, you mustcontact Jessica Amick () to obtain access to this page.

2. If you’re not able to login because you have forgotten your password, you must send an email to and they will reset your password.


1) Log In: Once you have logged in, a list of your 2007 tournaments will appear. If you did not hold a sanctioned tournament in 2007 this page will be blank.
2) Existing Tournament from 2007: If there is a tournament that you would like to keep from the prior year listed in your tournament page, please press the copy link (to the left of the date). Instructions will then appear. The copy process will save you from having to fill out a new sanction form; however, you will still need to go into your tournament information and make updates (i.e., fees, dates, etc) to the tournament that you copied from 2007 to 2008. Your Tournament Headlines and additional notes will not be copied. This only copies your dates and events, fees, contact info, etc... You will need to re-enter your Headlines once your tournament has been approved.
3) New Tournament for 2008: If you want to add a tournament, click on New Sanction Form on the left. Follow the directions provided on the next few pages. Please follow the directions carefully. If you enter some of the information incorrectly, it could prevent your tournament from being approved for 2008. Please pay particular attention to all of the highlighted areas!!!!

New Sanction Form:
Fill out desired tournament name and start date.
You must fill in your organizational USTA number to proceed to page 2.
If you need to look it up, click on the magnifying glass icon and type in the name your organizational membership is listed under.
Press continue to go on.

Summary page:
Includes information about your tournament. As you update your tournament this summary page will change. When you’re finished with your sanction application please print the summary page for your records.

Make sure all organizational membership information is correct. If you want your correct information to show up online, you must make sure the information provided below is accurate. If corrections need to be made, please contact or call 1-800-990-8782.

Referee information is mandatory. Your tournament will not be approved for sanction until that accurate referee information is listed. THE REFEREE CANNOT BE THE TOURNAMENT DIRECTOR.

Fill in all required fields denoted by the * asterisk.

Make sure to include a second start and end date. A third choice is optional. If you don’t include a second start date and end date, we will assume that you don’t have one and your tournament may not get approved if you only have one date available for your event.

*** Entry fees can be set up in the following ways: First/Additional, Flat Fee, By Event or Fee Table. (If you have a “non-traditional” way of charging entry fees, you can select the “Fee Table” option in order to set up your entry fees. (If you need help here, please email )

Fill in all required fields and include any notes you would like to post about your entry fee, (for example, $10 off if you sign up a friend…$5 off if you bring canned goods for donation).

We are giving our tournament directors the option to do mail/phone entry, TennisLink Online Registration, or both by clicking both boxes. Please note that if you choose to do online registration it is your responsibility to include your bank information.
Note: If the TennisLink online registration box is checked, the online registration link will be generated automatically according to the Entries Open date. If you don’t want to do online registration please DO NOT check this box.

* For Entry Type please select: OPEN, and

For Player Selection Type please select: NO SELECTION PROCESS.

We will make corrections if needed.

Sanction Form Events:
This is the area where you will be choosing what type of tournament and the age, NTRP and/or family division for which you are submitting an application.

The first thing you need to do under Event Group # 1 is to click on the gray box to the right of “*Divisions”.

Screen 7a and 7b
1. Click on the appropriate box for the type of tournament you want to host.
The only time you may need to put some divisions in Event Group #1, and other divisions in Event Group #2 is for the following scenario:

There are several tournaments that have different levels within the same tournament:

For example…SC State Closed NTRP Tournament may still offer age group play. In that case, the state closed portion of the tournament would be classified a “District Championship” under Event Group #1 while everything except NTRP would be classified as a “Level 1” tournament under Event Group #2.

Another example…SC Adult & Jr. Challenger tournament would need to list all adult divisions under Event Group #1 because that portion of the tournament would be considered a “Level 1”, and the Jr Challenger portion of the tournament would need to be placed under Event Group #2 because it would be classified as a “Category 1”.

Otherwise, most tournaments can list all divisions under the same Event Group #1.

2. By clicking on the appropriate division type(s) at the top, you will be shown the available divisions in the box on the left. Click on the divisions you want in your tournament and then click the right arrow to move them to the “Selected Divisions” box on the right. You can select multiple divisions at one time by holding down the ‘ctrl’ key and clicking on the desired divisions (see screen below)
3. You can then specify the Draw type for the divisions selected. If you have more that one draw type, select the one that will be used the most, and then on the next screen you will be able to edit the draws for each event that are different. (see screen 7b on next page) You can do the same with the draw limit and surface. Select the value that will be used the most as the default. (If you do not have a draw limit, just leave that space blank.)

*** Do NOT click “cancel”. You should click “continue”…If you press “cancel”, your information will be DELETED.

PLEASE NOTE:

  1. NTRP Combined Mixed can be found under “Custom” (rather than under “NTRP”)
  2. This web site has several divisions that SC does not sanction; please do NOT select them. Please see the document titled “SC’s Non-Sanctioned Divisions” on our website for a list of divisions that are NOT SANCTIONED by SC.

4. The default values you chose previously on screen 7a will be displayed for each event. (see screen 7b below) Modify the information as necessary. Then, click the “Continue” button.

5. Once you click the “continue” button, you will be taken back to the main “events” tab.

6. After completing screen 7a & 7b, you have returned to (what looks like) “screen 7”. This screen will allow you to see what divisions you have chosen. (see screen below) If your divisions do not appear correctly, click the gray box again, and review what you have chosen (see/repeat steps above).

*** “LEVEL” … Please designate the “level” with the drop-down menu as follows:

Novice/Rising Stars: “Novice” Level

Challenger Tournaments:“Challenger” Level

State Championship Tournaments:“State” Level

ALL OTHER Tournaments:“Ranked” Level

GENERAL INFORMATION – HIGH IMPORTANCE!!!
Fill in any general notes you would like to post about your tournament. All specific notes should be made as ‘Headlines’ in TDM. Please e-mail to find out more about headlines. Make sure your tournament name is correct such as Senior State Closed – Clay, Sunbeam Junior Tournament or ABC Challenger. You must specify in the title of your tournament either Challenger or SC State Closed if applying for either of these event types.
Click on the small “Add Category” link (see bottom of screen below) and a pop up box will appear.

Step 1: Click “add category”…everyone must select “District Event” under the categories listed.

Step 2: Delete “Section Event”.

SANCTION FEE:
1. Mark this tournament as a sanctioned event. (see screen below)

2. Select your payment type.

*****YOUR TOURNAMENT WILL NOT BE APPROVED AS “SANCTIONED” UNTIL

(1) YOUR ONLINE SANCTION APPLICATION HAS BEEN COMPLETED AND SUBMITTED AND (2) UNTIL WE HAVE RECEIVED YOUR SANCTION FEE (BY CHECK OR CREDIT CARD).

3. Click “Click Here To Finish” (Upper Right) to complete the process.

4. You will return to the page showing your tournament(s). Your tournament “status” will be listed as “incomplete”. If you need to return to your sanction application to complete it later, please do so. If you feel your sanction application is complete and ready to be submitted for approval, go to the next step.

5. To the left of your tournament name, click “Submit”. At that time, an error message will pop up if any of the required fields have been inadvertently left blank. You must fill-in any of this information before you will be allowed to submit for approval. If there is no error, your tournament will be submitted to the appropriate administrator for approval. The tournament will be placed in a 'pending' status.
