RECEPTIONIST / SECRETARY
One Year Contract PositionTemporary Part-time 18.75 hours per week
Job Summary
As a member of the Administrative Team, the Receptionist/Secretary is responsible for providing a wide range of reception, administrative and clerical supports to the organization in order to ensure the smooth flow of people, information, and communications.
Responsibilities
Perform reception and health records duties, including but not limited to:
- Receiving and directing visitors/clients, information and communications
- Scheduling client appointments
- Collecting and recording client and service delivery data and information
- Providing general information about KDCHC programs/services as well as other community services
- Referring clients to other staff as appropriate
- Arranging interpreters and transportation services for clients
- Preparing, updating, retrieving and filing client charts
- Photocopying client records, reports, forms and other documents
- Preparing charts and necessary forms for appointments
Collaborate with other members of the Administrative Team to ensure all reception, administrative, secretarial and clerical duties/responsibilities are fulfilled
Participate in team and staff meetings, chart reviews, case conferences, and other meetings and committees as appropriate to support both service delivery and organizational goals
Work during both regular and extended hours (evenings/weekends) and in locations within Kitchener to be determined by KDCHC
Work in a health determinants/client centred approach so as to assist in building the client’s or community’s own capacity to achieve health and well-being
Promote KDCHC and uphold its values, principles and policies
Collect, analyze and report on data and relevant information and participate in research as determined by KDCHC
Work in a manner that preserves confidentiality and seeks to minimize risks to the Centre and clients
Contribute to the Centre’s efforts to secure and maximize resources for current and new programs, services and activities
Support the Centre’s student and volunteer placement programs
Contribute to the Centre’s practices of hiring, orienting and training of staff
Accountability
This position is accountable to the Director of Administration
Qualifications
- Secondary school diploma
- Two years office experience in a health care or social service setting
- Experience working effectively and sensitively with culturally and economically diverse populations
- Experience with switchboard/multi-line telephone system
- Proficiency in Microsoft Windows, Word, Excel, Outlook & Internet Explorer.
- Experience with computerized scheduling and/or health records systems.
- Excellent English written and oral communication skills.
- Demonstrated ability to multi-task in a fast-paced environment while adhering to established policies and procedures
- Demonstrated ability to work independently as well as an effective member of an interdisciplinary team
- Demonstrated ability to maintain strict confidentiality
