One Eleven Policies, Procedures and Vendor Guidelines

CAPACITY

One Eleven is approximately 4,500 square feet of space. This space is broken up in to three parts: Observation Deck, Penthouse and the Patio. The Penthouse is the only portion of the venue that is climate controlled. As posted on the One Eleven premises, the maximum capacity per the fire code

is 286 guests. This capacity is based on the utilization of all three sections of the venue at one time.

VENDOR LOAD-IN/LOAD-OUT

To facilitate your event, One Eleven will provide one (1) on site Operations Staff member. This cost is included in venue rental.

Vendors may load-in using the elevator located at the SE corner of 2nd Avenue and Broadway. This entrance is off of 2nd Ave. A load-in schedule should be submitted to a facility manager no less than seven (7) days prior to the event. One Eleven is not responsible for lost or damaged items during the load-in process. If multiple trips are necessary, an elevator key must be obtained to lock the elevator doors open. This key is available with the on-site One Eleven Operations Manager. This key will need to be returned immediately upon completion of load in.

In order to ensure that goods and services provided by outside vendors meets the professional standards of One Eleven, we reserve the right to deny outside vendor arrangements. Please coordinate all outside vendor arrangements with One Eleven Operations staff, this includes a detailed load in/out schedule. One Eleven will not be responsible for any act, omission, or loss whatsoever resulting from any act of omission occurring by an outside vendor. Vendors must load-out immediately following the conclusion of event. One Eleven does not have twenty-four (24) hour security and is not responsible for items left on the premises.

EVENT SET-UP

A lay-out of the event floor plan must be submitted for approval to facility manager no less than fourteen (14) days prior to the event; overall details of the event (including décor) must be finalized ten (10) days prior to the event with your facility manager.

Event set-up time is contingent on the event schedule at One Eleven and must be arranged with operations manager prior to load-in/set-up. One Eleven does not provide staff to move décor, props, staging, etc.

DOOR MANAGER

One Eleven will hire on behalf of client one (1) Door Manager for your event. This cost is included in the venue rental.

ALCOHOLIC BEVERAGE SERVICE

In accordance with Tennessee State Law, all alcoholic beverages must be served through Event Logistics, Inc. Absolutely no outside alcohol, including donated product is allowed to be served at One Eleven. All alcoholic beverage arrangements must be made at least ten (10) business days prior to the event. Alcoholic beverage arrangements not finalized within ten (10) business days will result in a $500.00 rush fee.

CATERING

Client may hire a caterer on own accord, or may utilize One Eleven staff to secure and contract a caterer on their behalf. All vendors, including caterers must provide One Eleven with a two-million dollar ($2,000,000) general liability policy naming Event Logistics, Inc. as an additional insured and certificate holder per occurrence.

Caterers must come prepared with all necessary equipment and product; however, running water will be provided by venue. No open flames or grills of any kind are permitted. Warmers may be used for catering heating needs. All cooking equipment must be accompanied by an ABC fire extinguisher located on a stand in the immediate vicinity of the area where cooking will be done. All placement of such equipment must be approved by your facility manager.

Caterers must remove all trash after conclusion of event. One Eleven does not provide use of a dumpster on-site.

LIGHTING

Additional decorative lighting may be used to enhance your event. All suspended lighting must be approved in advance. One Eleven does not provide power strips or extension cords. No open flames are permitted. Votive candles and enclosed candles are acceptable for use on tables.

ELECTRICAL NEEDS

There are existing 20 amp circuits throughout One Eleven and can be used at no additional cost.

If additional power is needed, two 80-amp, three phase connections are available at an additional cost of $150.00. A detail of all proposed power requirements must be submitted in advance to the facility manager for approval. For special needs, One Eleven requires an approved electrician. Any orders for additional must be made in advance and payment must be received prior to your event date.

HOUSEKEEPING

One Eleven staff will be on site before set-up to ensure that the facility is in a state of readiness for your event. The caterer is responsible for food service clean-up during and after the

event. Caterers are responsible for cleaning the areas where the food is being prepared and served.

One Eleven does not have trash cans or trash dumpsters available for use. Client is responsible for providing their own trasch cans and for the removal of all trash immediately after the event. A trash removal fee will be imposed if any trash is left on the premises.

SMOKING

This building is non smoking.

SPECIAL EFFECTS

The use of fog and smoke are strictly prohibited. Your Event Manager must approve any equipment hung from any surfaces and use of laser shows. The use of helium balloons is allowed but the tank used to fill the balloons must be removed from the premises immediately after it is used.The use of pyrotechnics (including fireworks) is strictly prohibited on One Eleven property.

DELIVERY AND SHIPPING MATERIALS

No items may be shipped to One Eleven. One Eleven does not have storage facilities. All deliveries must be made on the day of the event. After items have been delivered to One Eleven, the client is responsible for transporting their items within the facility. The client is responsible for packaging and shipping all materials before their departure. One Eleven is not responsible for material left after the event.

SECURITY

One Eleven does not have on-site security. Upon request, security can be provided at an additional charge.

PARKING

Valet parking is permitted and can be arranged by One Eleven at an additional charge.

COAT CHECK

One Eleven can provide coat check services at an additional charge.

STREET CLOSURE / PARKING LOTS

One Eleven has no control or bearing on street closure, or closure of adjacent parking lots during your event. One Eleven will facilitate bagging of meters and/or road closures if needed. All permit costs will be billed to the Client.

DANCE FLOORS/STAGING

Dance floors and staging elements must have padding under contact points.

GLUE/TACKS/NAILS/TAPE, etc

No glue, tacks, nails, tape, etc. may be affixed to any surface of One Eleven property. No items may be hung from any part of building structure without prior approval.

FIREARMS

Firearms are not permitted on One Eleven property.

LIVE ANIMALS

Live animals are not permitted on One Eleven property. In compliance with the Americans with Disabilities Act, trained service animals will be allowed to provide assistance to an individual at One Eleven.

USE OF NAME

All materials (printed or electronic) bearing the name or logo of “One Eleven,” “Event Logistics, Inc.” or its likeness must be submitted to your facility manager for approval prior to publication.
