Ogle Elementary School PTA Board Meeting

Approval of Minutes from last Meeting: the Ogle PTA Board Members read Minutes from 8/22/2017. Erica Quave motioned to approve the meeting minutes, motion seconded. The motion passed.

Treasury Report:

The treasurer’s report was distribured. The current balance as of 9/19/2017 is $13,331.39. It was noted that some chairs have still not turned in their POW’s. These need to be turned in ASAP so that the budget committee can meet to reconcile POW’s with the budget. The chairs still needing to turn in POW’s are communications, reflections, and inclusivity. Leyna mentioned that the interim budget shows that Healthy Lifestyles gets a total of $1350. However, the bulk of this was for the field day put on by Boosterthon. Amy will check to see where this will go. Also, DeAnn has sent out DropBox invites to everyone. This will help keep all documents in one place. Leyna moves to approve treasurer’s report, the motion was seconded. All in favor, and the motion passes.

Current Business:

Environmental- Jennifer attended the Environmental Chair training. She learned that other schools have beautification budgets – money to add mulch to rose bushes, have flower pots, etc. Jennifer also mentioned that Frisco Environmental was interested in the idea of Share Tables where students could place unopened foods for other students to pick up. There were concerns about student allergies and how to handle this. It was asked if this food could be sent home to students who take home weekend food backpacks. It was suggested that Jennifer contact the nurse or the school counselor about this. In other Environmental news, Jennifer has currently scheduled three days for school-wide clean up. These days are: September 25 (following Ogle Games), Friday, January 5, and April 21 (which is Frisco’s Clean It and Green It Day). The September and January dates are specifically for Ogle’s 5th Grade Green Team; the April date is open to the whole school. Frisco is providing cinch sacks and stickers for Ogle’s Walk to School Day.

Cultural – Delores has learned more about the Reflections position. There are two age categories for competition: Primary (Pre-K through 2nd grade) and Intermediate (3rd – 5th grade). There is also a SPED category. Within those two age groups, submissions can be from five individuals categories. Deadline for receiving entries is November 3rd. Amy Opiela suggested talking to the Art Teacher to push submissions from students. If a submission is selected, the student’s parent must be a PTA member. It was recommended that Ogle recognize all submissions and that we could possibly display them in the school somewhere. There is no fee to participate.

Spirit Wear – Tracie has the designs finalized and has two vendors for Ogle Gear. One vendor has a website: Oglegear.com. The other vendor has a hard copy form. Personalization will be available from one vendor and you can personalize cups/totes/shirts/etc. There is no minimum purchase. For the Hardcopy vendor, the orders must be put in by October 6th.

Membership – We are currently at 193 members. We are still getting a lot of in Thursday folders because of upcoming Ogle Games.

Math Night – National PTA had grant money available for Math Nights. Robin applied and we were granted $1,000 for a math literacy night on October 12. PTA will be buying some math games and math themed books for each child in attendance, and will have a healthy snack available. The grant funds are through Mathnasium.

Ogle Games – We have sold over 656 tickets for Ogle Games, and we expect about 1500 people. We need lots of volunteers. Erica asks that everyone sends out the volunteer link. The board will be meeting at 3:45 to help with everything. All silent auction items must be to the school by 3:30pm Wednesday afternoon. Thursday morning, silent auction values and descriptions will be being completed in the science room. Friday morning, we will be in the science room packing popcorn from Cinemark into small bags to hand out. The board should be available at 7pm Friday evening when volunteer turnover occurs so that if there are positions to fill, we can do that. We currently only have 1/3 of the volunteer positions filled. Any teachers who volunteer will be entered into a raffle for a few items. Mrs. Samuels will email the teachers and let them know about the raffle. Everyone should make sure that they have Erica’s phone number in case something comes up. The PTA shirts are ordered and should be coming in for Ogle Games.

Boosterthon – Texas Legends will be the Premier Sponsor for both Ogle Games and the Fun Run. They are sponsoring at $2,000. They will be doing activities at Ogle Games too. We only had one premier sponsorship spot, and that is now filled. However, we need lots more sponsors in the other sponsorship levels. Ana encourages everyone to go to the sponsorship form on Dropbox and take on a few locations to go look for sponsors. The form is called the Donation Lead Spreadsheet. Deadline for banners will be two weeks in advance.

Updates from Other Chairs:

Book Fair – Amy had someone approach her who is interested in taiking over Book Fair. That person will shadow her as Book Fair happens this Fall.

Communications – No Update
Healthy Lifestyles – We will be holding Walk to School Day on October 6. We will be using the cinch sacks from Environmental and using some leftover materials from last year’s health fair. Leyna attended her training for Healthy Lifestyles. She also met with Mrs Pope, Mrs. Loden, and Frisco ISD Nutritionist. We worked together to come up with the date of October 19 for the Eat the Rainbow date. Leyna is also working with Mrs. Loden to come up with dates for the monthly Taste the Harvest events. October 19 will also be the first Family Fitness Night. Leyna has set up a volunteer personal trainer to work with families for both October and November. Leyna submitted a grant that would provide the trainer with payment from January – June. We should hear back from the grant hopefully in October. Amy C asked that Leyna and Jennifer send all dates to her to put on the calendar.

Room Parents – No Update

Volunteers – Nicole sent out some info on facebook for volunteers for the Health Screenings. Volunteer training went well. Also, Nicole wanted to note that if you need a lanyard to let her know. If you have a lanyard, Amanda will check you in and you need to log in to App Garden for Volunteer hours to be tracked. Nicole told everyone to check their folders in the PTA cabinet as well.
Watch Dogs – No Update

New Committee Appointees –The Historian and Council Delegate that Amy mentioned have not yet responded to emails so we cannot appoint them at this time. Also, the SAGE council position is still open as well.

Training – If you haven’t completed your FLO update, please do so quickly and let Leyna know that you have done this. Leyna discovered at the Secretary training that there is no formal record keeping for who has and has not taken this training. If you think you have not – and have been a board member for several years – please take this training. It needs to be done once in your PTA board member “lifetime.”

Announcements – Ogle received an award for the amount of people we had in our membership last year. Congratulations to Ogle for reaching this achievement! Ogle also received a thank you note from scholarship winners and a note from teachers thanking PTA for dinner. Amy also mentioned that we need to be using our official PTA emails with all communications.
