Office of Financial Aid

Summary of Responsibilities

Reporting to the Director of Financial Aid, the Receptionist serves as the initial point of contact for all students, parents, and visitors to the Office of Financial Aid. The Receptionist welcomes and acknowledges all visitors by anticipating and addressing their needs. He or she answers & fields incoming phone calls using appropriate etiquette and projects a positive attitude. As a member of the FA team, the receptionists will share the responsibility for: updating departmental calendars; preparing public spaces for visitors; ability to utilize the software program PowerFAIDS for data; providing clerical support, including data entry, opening mail and preparing mass mailings.

Essential Functions:

1.  Provide exemplary customer service to all visitors & callers to the Financial Aid.

2.  Maintain departmental appointment calendars and keep abreast of critical changes and updates.

3.  Demonstrate continuing education about Occidental College in general and financial aid requirements in particular.

4.  Opens the office daily at 8 a.m.

5.  Develop and maintain positive working relationships within the Offices of Admission, Financial Aid, Student Business Services and other campus departments.

6.  Reviews documents complete by students and parents for accuracy and completeness.

7.  Assists Financial Aid Coordinator with all data entry as necessary for application tracking, award generation and associated duties.

8.  Perform other duties as requested or assigned.

Job Qualifications

The candidate should possess a genuine desire to assist people, as well as the ability to pleasantly, patiently, professionally, and confidentially deal with a variety of personalities. He or she must communicate with others using clear and professional language, possess strong organizational abilities, and demonstrate commitment to providing outstanding customer service. The position requires 1-2 year’s general office, hospitality, and/or customer service experience. Proficiency in Microsoft Office, Google platform, automated calendaring systems, and accurate data entry skills required. He or she must have the ability to work independently and within a team of diverse individuals to support common goals. Experience in and familiarity with an academic environment is helpful.

This is a 10 month (January through October), 40 hours per week 8 a.m. – 5 p.m. Salary Rate: $16.00/hour with full benefits.
