When taking a look at our procedures for our off-campus sites this year, we came to the conclusion that it makes better practice to sign an updated Participation Agreement with our off-campus organizations annually instead of every few years. To that end, you will see that we have included a new Agreement for your organization to sign.

In addition to the Agreement, I have included two additional sheets that would be helpful to us. One is an information sheet on your organization and the other is a list of those from your organization who are authorized to sign student timesheets.

In addition, I have included a copy of our new on-line job posting and hiring procedures, as all jobs in which Yale Students work must be posted and individual students hired on-line. As a reminder of posting jobs and the hiring of students:

  • Your agency must have accurate job descriptions for all positions you will be offering on the Student Employment system. Please post all jobs you offer to Yale students.
  • All students contact you directly. Studentsapply on-line and contact the agency directly if they are interested in your position. All interviews are conducted by the agency in accordance with their own guidelines. Studentsmust have Federal Work-study to be hired.
  • Hire a student on-line. Since August 2004 all students are hired on-line through the Student Employment system. Consult the “Help! Pages” on the Student Employment website (ww.yale.edu/seo – Community Service Agencies) for instructions. Any student without Federal Work-study will not be allowed for hire by the on-line system.

Please review the procedures, collect the appropriate signatures, and make copies as necessary. Then, mail the forms back to Student Employment Officeas soon as possible, but no later than December 13, 2003.

As a summary, your agency needs to return the following:

  • An original of the signed Agreement
  • The Agency Information Sheet
  • The Authorized Signers Sheet
