Incoming Faxing

  1. You basically can receive faxes using (3) different methods or a combination of them. They are:
  2. Printer – when an incoming fax is received, it is sent directly to the printer and prints out.
  3. Folder location – when an incoming fax is received, it will be placed on a network drive such the J:\ drive. This option would save the expense of paper.
  4. Email – when an incoming fax is received, it will be emailed to a single or multiple email addresses.
  1. Some examples of setups thus far are:
  2. Sheriff Dept Dispatch - All incoming faxes print and go to all dispatchers email because so many users share the same computers.
  3. Sheriff Dept Jail – All incoming faxes print only because so many users share the same computers.
  4. Human Services – All incoming faxes go to a separate email address that the office open up automatically in outlook as a separate email address. They did this to save on printing costs.
  5. Administration – All faxes come in on email.
  6. Child Support – All incoming faxes are printed and a person is notified via email.

Outgoing Faxing

1.You have many choices to send a fax out. The best solution may be one or a combination of the following solutions. Choices are listed below:

  1. Fax from a copy machine. This is really the only method to fax a hard copy (a nonelectronicdocument). There are 2 different types of copy machines. OSA1 & OSA2:

OSA1 are the older and slower copy machines. Typically, models smaller than a 283, such as the 260 models, are OSA1. On the copy machine there will be a sticker next to the control panel that says “NOFAX”, “OSA1” or “OSA2”. An explanation of each is below:

  1. “NOFAX” – This means you cannot fax from this copy machine.
  2. “OSA1” – You can fax from this copy machine. However you cannot use address books with OSA1 copy machines. Everything must be manually entered each time you fax. The steps to fax are:

FAXING INSTRUCTIONS (insert paper, FACE DOWN)

Press the SCAN button (black button)

Press ADDRESS BOOK right column- on the screen

Press GROUP button (bottom right)

Press FaxCore (top left)

Press CONDITIONAL SETTINGS (top right)

Press DATA ENTRY – bottom

Press FaxCoreOK

Press the words FAX NUMBER

Need to press the 12#$% and the number panel will show up,

dial number-Don’t forget the 9!OK

Press the words RECEIPENTS NAME

Type the nameOK

Press the word USERNAME

Press username(will display your username)

3. “OSA2” – You can fax from this copy machine. This is the most advanced copy machine and easiest to use. To fax from this copy machine, simple follow the steps below:

Faxing using with the address book:

  • Select OSA
  • Select Address book
  • Select Faxcore address book
  • select recipient
  • Select Save
  • Select Back
  • Select continue
  • Select continue
  • Select apply
  • Select OK

Faxing without the address book

  • Select OSA
  • Select fax # raw enter number (91XXX-XXX-XXXX)
  • Select Continue
  • Select Continue
  • Select Apply
  • Select ok
  1. Outlook Faxing using Manual Entry of Fax Number. The second option is to fax from Microsoft Outlook. You can either type in the fax numbermanually or you can select a “Business Fax” recipient from your Outlook Contacts. Listed below are examples of these two options:
  2. To fax manually from Outlook
  3. In outlook, click “NEW” to begin creating a new email.
  4. In “To:” [FAX:Receipeintname@1+areacode+faxnumber]
  5. [ ] brakets are required.
  6. FAX: (is required)
  7. Receipeintname is the person the fax is being sent to. Replace this with a name.
  8. 1+areacode+faxnumber is the fax number. All fax numbers must be entered in full syntax. An example is 19208346805.
  9. An example is [FAX:wayne@19208346410].
  10. In “Subject” Type what the subject of the fax to be.
  11. In the body of the email type in more detailed info of what you want the body of the fax to be. Would recommend limiting the body to a few sentences maximum.
  12. A print screen example is below:

  1. Outlook Faxing using Saved Contacts. To fax from outlook using a Business Fax, do the following:
  2. Type need to type in your contacts information in Outlook. You must include a Business fax for your contact. Once this is done, you simply go into your Outlook Contacts address book and select your contacts(Business Fax) number.

  • “Subject” Type what the subject of the fax to be.
  • In the body of the email type in more detailed info of what you want the body of the fax to be. Would recommend limiting the body to a few sentences maximum.

When using saved Outlook Contacts (Business Fax) numbers, your email will look something like this:

  1. Faxcore Web Application. Another option to fax is to use the Faxcore web server. You need to click on the link on the myOconto intranet located under applications called “Faxcore”. You then login with your network login name and password.

  4. Select New then Contact
  5. Fill in the fields on the contact management page

  13. In the new Message window select the documents tab
  14. Select the green Attach Documents button
  15. Select browse to locate your document
  16. Select the document then select open
  17. In the attach document window select Attach Document
  18. Your attachment will now show on the right side of your fax message

  20. In the new message field select the green button Add from Address Book
  21. Only one contact can be added at a time
  22. Select contact the select the add button
  23. To add more recipients select the green Add From Address Book
  24. Repeat until all contacts are added

  26. To view fax history
  27. Select search on the bottom on the window
  28. If you what to view all faxes select the search button next to reset
  29. If you would like to look up a specific date enter in the dates in the correct field
  30. To view more history change the number of items to display to a higher number
  31. To change password
  32. Select settings
  33. Select manage password
  34. Enter in current password
  35. Enter in new password.
  36. If your department shares a password make sure to communicate the new password with your team
  37. Under the Message section you can view sent, failed and outgoing messages

Questions and Answers:

1) Can I send a fax to a group from a copy machine? At this time you cannot send faxes to distribution groups using a copy machine. However, faxcore is upgrading this feature in the near future. Rather, at this time you have two options:

  1. Scan the document in as a PDF and then use the web based faxcore software to fax to the Faxcore distribution lists you created from your computer.
  2. You can select multiple addresses from the copier when sending out faxes by checking each one you want to send the fax to.

2)How large of a fax can I receive? Up to 7 MB in size is largest you can receive. This will typically have heavy graphics in the fax.

3)How many faxes can be sent in or out at a time? Unlimited.
