NHS HIGHLAND INTEGRATED STAFF BANK – INFORMATION FOR STAFF

NHS Highland Integrated Staff Bank office will shortly be moving to a new system to book, request and pay your Bank shift.

This is a very exciting time for not only the Bank office but also for all staff working on the Bank within NHS Highland.

The new system will become active on 4 April 2017. The Bank office want to keep you up to date with what is happening and we will do this by putting information onto the NHSH Internet and Intranet Pages and sending the link to all Bank staff by text. There will also be information posters displayed across NHS Highland. Please speak to your fellow Bank colleagues to ensure they are receiving this information. If they are unaware of the changes please could you forward the information to your Bank colleague or ask them to contact the Staff Bank directly to find out why they have not received the text.

We have also prepared a Frequently Asked Question (FAQ) sheet. You are welcome to contact the Staff Bank with any questions or concerns you may have. If we do not have the answer when you phone we will get it and then update the FAQ.

In order to move smoothly from our current system to the new one it is essential that we ensure we have your personal details correct. To that end, please complete the enclosed, “Staff Bank Data collection form – Annual Update” and return it to the Bank office no later than 21 February 2017. In addition, please ensure that you provide us with details of all training.

FREQUENTLY ASKED QUESTIONS AND ANSWERS FOR STAFF BANK WORKERS

QWhen will I start using the new system?

AThe new system will go live on 4 April 2017

QHow is it going to work and what do you need me to do?

AAll staff who have provided email address and have internet access will be able to log into the new system. We will email you a log in to let you access the system. We would then ask that you log into the system and check your own details. If any details need updated we would ask you to contact the staff bank.

QWill I be able to book shifts on line?

You will be able to review the shifts available in the areas where you are authorised to work. You can then choose the shifts you wish to work. As long as you have the appropriate skills and up to date training you will be able to put yourself directly into these shifts. You will then be able to review all the shifts that you have been confirmed to work. You can also review the status of the shifts you are working i.e. you can check to ensure the shifts have been approved by the ward and forwarded for payment.

QHow do I access it?

AYou will access the system via the internet, using your login and password which will be provided. Any questions regarding access should be directed to the Staff Bank office. It is necessary for the bank office to have your email address as this is how we will share your log in information with you.

QWhat if I cannot access the internet?

AYou can contact the bank office and we will advise you of shifts available on the dates you can work.

QWho will show me how to use the system?

AInformation on how to use the system will be shared with you by email, the internet and intranet. If you cannot access contact us and we will send information to your home address.

QHow can you guarantee I will get a text for a shift?

AWith the new system you will be able to access all shifts available for the area you work. You will be able to go onto the system and book yourself into the shifts. This can be done 24/7 at work, at home, or any time when you have access to the internet. You will only be sent a text for shifts within 5 days of the shift being required, so it is important that you are actively logging into the system to check and book your shifts.

QHow do I cancel out of a shift?

AWe would still ask you to call the Bank office and the ward if you have to cancel out of a shift.

QHow reliable is this new system?

AIt has successfully been set up in other NHS areas in Scotland, where it has been reported as being very reliable. (It also comes with 24/7 support should any technical issues crop up.)

QWill there be timesheets?

AAll timesheets will now be electronic so there will be no further need for paper timesheets. Timesheets will be completed electronically on the ward by the senior staff member in charge.

QDo I still need to phone the staff Bank?

AWhen the new system is up and running you can book yourself into shifts. However, the Staff Bank will always welcome any phone calls from Bank staff should you have a question you need answered.

QWill the new system stop the instances of double booking of shifts?

AThe new system should stop double booking , but we would remind you that if you for a shift and are not required you must speak to the nurse manager or senior nurse in the ward to ascertain if there is another area you may be required. Please always remember to log in and check your name is against the shift. If it is not then you are not booked onto this shift.

QWhat are the next steps?

ATraining information will be produced and shared widely across NHS Highland. We would ask that you look out for further update texts from the Bank office. Please also check NHSH Internet Page and NHSH Intranet regularly.

QWhat if I want to leave the Integrated Staff Bank?

APlease email the Bank office and we will complete the necessary paperwork.
