Financial Update

Due to the resignation of Alison as treasurer, it was necessary to organise a transfer all the many things she had started and developed for the group. Her expertise will be greatly missed.

* there had been no further expenditure since previous meeting

* website needs to have the NP details on the DD. And a invoice so far

* Alison will invoice the group for the cost of the projector, and return the screen

*Locality contract needs to have a new contact address. Alison got us a good deal of support from them, see notes further on.

*RENEW clarify that they have a current contact address for the group

*Accounts, there needs to be a financial reconciliation by the end of November, see spread sheet, and a forecast till the end of the year

Consultations

John mentioned a meeting to be held with the Brigshaw Trust Schools Forum TBC

Business addresses. Dave said there were 313 businesses in LS25, the contact details could be obtained for £37, and he was producing a spread sheet for all contacts needed for the consultation process, when we have to target specific groups

Alison had been to visit 2 groups for a PR/Consultation meeting, the Kippax Parochial Church Council, and the Kippax residents Tenants Assoc at Valley Ridge ( minutes to be forwarded)

Online survey so far only 13 completed on the website, not enough and needs encouraging

Questionnaire

It was ready , what was the delay???

A front cover to be designed John Urwin to do, when drop offs can be named.

Distribution, it could be 1, via magazine, 2 pay some local people, 3, give it to the PO distribution Centre, and pay £600 approx

Printing, it would be best as a booklet, Doug to contact best print about the costs

Encourage friends/family in Kippax to use the online questionnaire

List of contacts via email needs to be built up and updated

Events at Christmas needs verbal and visual reminders to fill in the questionnaire, perhaps posters in pubs/shops etc in New year.

Members to contact local points to see if owners are willing and to bring the list back to next EXTRA meeting on 12th Nov at Band Club 7-30

Doug made a list of consultations already achieved, it seemed a lot BUT some of these were more PF/Information meetings (see notes by Mike Dando)

Roles

Due to Alisons resignation, as a treasurer, Frances will take over that role with Chris and Di as Support

LCC support

Heather Suggate has arranged a meeting with some of the other fore runners on the 14th November in the Civic Hall, in the afternoon, the time to be confirmed.

Useful documents

Poynton Highways, who have got rid of all signage and use colour codes on roads, a street checklist included, which may be useful to Kippax when we look in more details at highways

He introduced himself and his role, he is supporting 25 NP at the moment. There are only 16 like him, and also relies on volunteers.

Tom Ridley from the LCC to support

Support agreement---important points to note……………..

1) We can go for additional funding up to £7k

2) MD is flexible if we are. The period of support is a year , upto Sept 2014, MD can request a suspension of the time, and it can be added on at the end of our year

3)24 and half days of Mike, plus any more of the volunteers

4) re site allocations, we need access to the opinions received from residents ,from LCC

5) Mike to look at questions, cannot have major changes as it is already on line, but need to have one about preferred site?

6) project management…… review plans and timings MD needs copy sent

A person designated to be responsible for the PROJECT TIMELINE, revisit EVERY meeting

7)Training workshops available, an evening refresher course useful

Consultation/activities

4) Interpretation of our events ….all comments need to be fed into the overall analysis, the launch event(DM) and COOP ( Di may have some)

Minutes from every meeting, no matter how big/small are essential

Generic problems/issues from the Sandgates residents are a good source of information and comments. The website and letters can be used in the analysis.

Dave Charles to get the cost of some box files to use for the returns of questionnaire

The meeting closed in a rush, Mike had to get a train and Doug had to get him to the station.

However, it should be mentioned that we are sorry to lose Alison from the group, she has done a lot of work and I would like her to know that it was appreciated. She will continue her hard work with the Sandgate Residents group.
