Overview of position
This is a diverse role working with the conference marketing team. The role will suit someone who likes variety and is good at multitasking. You must be extremely organised and havean exceptional eye for detail. You must have excellent communication skills.
Job summary
Set up of new events
Complete new events input into CFT (Coda Forecast Tool)
Input standard external drops into InFront (e.g. Telesales, web-site)
Complete LRFs (event information form) and send to Finance team, monitor and report on status
Put together analysis for Marketing Managers for event plans
External grid
InFront reports - Printing source thermometers, KPIs etc.
Geo analysis
Recency analysis
Clients and Externals
Sourcing and contacting external companies to arrange contra deals for specific events
Contact Sponsors and Exhibitors for client lists
Follow up on both the above
Manage production
Ordering external lists (including overseas offices)
Ordering swaps - receive signed List Swap Agreement Form
Checking data – internals & externals
Complete Promotional Activity Checklist, Mailing Instruction Sheet
Sending data to mailing house
Monitoring mailings & ensuring external lists are received
Sending out
Faxes
Emails
Coming up with new ideas for the format and presentation of these
Web-site
Monitor completion of specific event web-sites
Check event URLs, dates, venues, PDFs etc
Banner design/production
Setting up links on relevant external sites
Monitoring clicks via tracker reports
Sending emails via web system
Social Media
Other
Complete Evaluation forms – update testimonials (file in event order)
Evaluation forms – input any new names into research
Update power point presentations shown at events
Download past delegate lists from /SAP
Simple list/query selections within InFront
Send new names (i.e. promotions / new appointments) to research
UNKs - Monitor Label codes in InFront and amend in InFront and SAP where necessary – to be completed by an agreed date every month
Assist Marketing Director and Divisional Marketing Manager on Ad Hoc projects

Personal Spec
-You will be highly numerate - this will be tested early in the interview process
-A graduate with at least a 2:1 degree (or equivalent)
-Have the ability to work autonomously using common sense and initiative
-Have exceptional organisational and time-management skills
-Have an exceptional level of attention to detail
-Knowledge of Life Sciences Industry or scientific background desirable
-Highly literate
-Experience of working with customer databases desirable
-Experience of working in events industry desirable
-Have some knowledge of Marketing principles
-Have experience of dealing with customers both in person and in written communications
