CT Northern Lights Team Manager Checklist

Thank you for volunteering your time as a Team Manager. The CT Northern Lights, aka. Northern Lights Girls Hockey (NLGH), appriciates your commitment to your organization.The success our players will have on and off the ice is a reflection of how we “all” (all defined as players, coaches, parents and administrators) work together in cooperation for the overall good of the CT Northern Lights program. We care about every player and what to make it the most positive experience possible

The purpose of this document is to assist you in being successful as a Team Manager. Team Managers are the key element on each team who ensures parents are being informed of all that is taking place with their team. The Team Manager is responsible for communicating all essential information toteam families. As TeamManager you are asked to perform a variety of administrative tasks along with being the liason between coaches and parents. The TeamManager ensures that thehockey season runs smoothly for players, parents and coaches. The TeamManager also facilitates that parents, players, and coaches come together as a “Hockey Family“.

Please review the guidlines and duties listed below to help you with your important position!

Upon your team’s formation:

Contact the Webmaster to have your account set up as a team manager – this will enable you to access the team roster and send messages.

Obtain your TEAM BOOK from the registrar. Please double check that all neccessary informations for your players is complete and correct.

Obtain official Connecticut Hockey Conference (CT Hockey or CHC) roster from the registrar. If any information is incorrect on the official roster, please let the NLGH Registrar know so a new official roster can be provided. You cannot make written changes to the roster. The only marking allowed on the official roster to be submitted for approval are the signatures.

Be sure to add a copy of the signed roster to your Team Book and return the original copy of the CHC roster to the NLGH Registrar.

Obtain the USA Hockey Code of Conduct

NOTE: It is easiest to bring acopy for each player to an early practice and have them signed in the locker room.

Optain extra copies of the game score sheets and keep them in your Team Book. You will find blank game sheets in the NLGH locker at ISCC (door to the left of the counter in the entrance hall) or ask the Leader of Managers for assistance.

25 game sheets are a good number to start with.

Contact the Leader of Managers to e-mail you game sheet roster label templetes.

Ask all families to update their profiles on the NLGH website as soon as possible. This information will beYOUR main means of communication!You will need correct:

  • E-mail - work and home (email is the primary method of comunications in the organization so it is strongly recommended that email is provided for BOTH parents and the player if she has email.
  • Phone numbers cell for mother and father home/work
  • Current address

Send an e-mail to all your parents asking them to update or add information by following these Steps:

Go to the NLGH Home Page

Click on Edit my Account –located on the left hand side of the page

Enter youre-mail address and pass word

Once in the account you can edit and add information-multiple emails can be

added by separating them with a comma.

Print out all player profiles once updated and add them to your team book.

Make cheer cards – should include the Players name, jersey number and the

parents names and cell phone numbers. –This helps when cheering for the kids and getting to know everyone involved with your team!

You can obtain a computer templete from the Leader of managers or create your own.

THROUGHOUT THE SEASON

Practice and Games:

Send out weekly reminder of the upcoming week’s events (practice days and times including off ice times. Game days and times with addresses of ice rinks for away games) This is a great way of keeping parents informed and an easy way to communicate any changes in places and schedules!

Home Games: Ensure that a game sheet is provided and correctly completed at every home game.

Game sheets must be filled out according to CHC guidelines below in order

to be valid.

Team roster labels are affixed to the official game sheets (white, yellow and pink sheet!) at all games, home and away

Score sheets- These sheets are used to calculate rankings in the State Tournament and must be received by CHC within 5 days of any game.

White copy- is mailed to the appropriate CHC Division director listed on the

CHC website- ( under the Tournament Director link

Yellow copy- is retained by the winning team

Pink copy- is retained by the losing team

In case of a tie the home team keeps the white and yellow and mails the

white to CHC.

NOTE: SCORE SHEETS MUST BE SIGNED BY BOTH COACHES OR THEY WILL NOT COUNT. KEEP COPIES OF ALL GAME SHEETS IN YOUR TEAM BOOK

Create Roster labels. For each game-home and away- three labels are placed on

the official game sheet (one on each page) in lieu of writing out the entire roster. At

away games, find the manager for the other team and give him/her 3 of your NLGH

labels.

NOTE: You MUST include coaches’ names on the roster labels, with

each coaches USA Hockey certification number (CEP), their CEP level

and the year their CEP level was attained.

NOTE: produce labels (10 to a page) using excel program.

Directions and template can beobtained from the Leader of Managers.

Team book must be on the premises at all games.

First aid kit must be on the bench for games and practice.(remind coaches or assign one family the responsibility of bringing and maintaining the first aid kit!)

At all home games, two (2) team parents are scheduled to work as:

  1. Official score- they are to complete the official score sheet during the game *
  1. Timekeeper- will operate the scoreboard at ISCC *

*The parents assigned these duties are game “OFFICICALS” and should

refrain from loud cheering. (These jobs can be rotated or the same parents

through the season.)

Contact the Leader of Managers for assistance or tips about score sheets and time keeping.

You might want to offer training sessions for the clock and score sheet in the first couple of weeks to allow parents to get comfortable with the task. Contact the Leader of Managers if you need help with this task.

COMMUNICATION

The NLGH website is the final word for all scheduling issues. However, it is

useful to send out weekly reminders of that week’s schedule to families. The

manager is the point of contact for other issues such as parties, tournaments,

coach’s gifts, team baskets. Once again, the more email addresses the better for communications.

TEAM PHOTOS

Schedule will be sent to you and posted on the website. Please notify your team

of your scheduled time and jersey color. The photos are usually taken in early November.

END OF SEASON

Return your Team Book to the registrar upon completion of your CHC tournament

Coordinate “end of season” get together for your team.

Gifts for Coaches are customary- If your team decides to do this- Coordinate the collection of money and buying of gifts.

OTHER RESPONSIBLITIES

Tournaments: - Each team will participate in tournaments over the course of the season. The tournaments will vary from team-to-team as tournament selection is at the coaches discretion. Please discuss tournaments with your coach as soon as possible as some tournaments require significant lead time to insure acceptance in the tournament and for hotel reservations.

Once the tournament is scheduled the team manager is responsible for coordinating the accomodations for the team, Team rates are offered at certain hotels.Ideally, all team families will stay at the same hotel. Once you reserved the team rate with a hotel near the rinks e-mail your families with instructions. If possible organize a team lunch or dinner during the tournament; it is a great way to bring families together as a team. Contact the Leader of Managers for information and help.

Organize a team get together early in the season for all families to meet.

Have aparent meeting (during a practice in a locker room )to explain your duties, the season, tournaments, and expectations.

Prior to the parent meeting discuss parent roles needed by the coach as some coaches need help with tracking of statistics or support for off-ice activities.

Each team must also have a Fundraising Leader to support the programs initiated by NLGH to bring additional capabilities and programs to our players. These capabilities and programs are intended to enhance the on-ice and off-ice experience of our players. Selecting someone who is outgoing and creative is important.

TIPS For SUCCESS:

  • Ask for Help: The Leader of Managers is available to assist you with any questions or concerns! Just call or e-mail!
  • Money: You probably will need to collect some money from families for team parties,coaches gifts, trophies etc. Contact the Leader of Managers for more information or ideas.
  • Parties: Team get togethers/parties throughout the season are great ways to come together as a team! This is entirely up to you and the head coach. We suggest a get together at the beginning of the season for all to meet and an end of season party as a minimum. Some teams like to do a holiday party during December or January. Get creative and have fun! The Leader of Team Managers is glad to assits you with ideas.
  • Don’t do it alone: Many parents are glad to assist you through out the season. Send e-mails to your families if you need help with organizing, planning, or paper work. Many hands make little work!
