Chairman’s Report 2016/2017

1. Membership – Craig Cauvin

Craig took over this portfolio in May 2016. The main focus of the portfolio the past year has been to streamline the membership process. This was achieved in large part with the assistance of our very capable webmaster whom assisted in re-designing the membership portal and integrating this with the membership database. This enables:

-Real time member information (for authorised users)

-On-line membership approvals

-The application, validation and card printing process is now all done by one person – creating a far more efficient end to end process

-Real-time membership statistics available to any authorised users.

-Real time membership validation by vendors who offer discounts to club members (Note – The vendors can only validate membership, and do NOT have access to any personal member information)

-Membership cards no longer expire - Validity is maintained in a secure on-line database.

On 16 May 2016 the club had 217 registered members, which grew to 338 by 31 December 2016.

There are currently 286 paid up club members as at 28 March 2017, of which membership cards have been printed for 278 members to date.

The only downside of an on-line database is that it places more reliance on the quality of the membership data - Since each member ‘maintains’ their own data we should continue to encourage members to maintain their personal data correctly.

Ad-hoc Sub- Committee – Constitution

I believe the biggest single achievement of the past year has been the rewriting of the outdated club constitution, and its validation and ratification by the club members early in 2017. This was a big step forward in terms of taking the club into the modern era.

2. Communication and Social Media – Charles Oertel

Club Website Statistics

oDuring the past year:

•170 000 visits

•980 000 pages viewed

•500 active forum members logged on in the last 6 months, and

•700 active forum members logged on in the past year.

•There are 3500 forum users in total.

•The site consists of 10GB of files and data.

•Our newsletter has 1500 subscribers.

•A Google search for "BMW Breakfast Ride Cape Town" has the club site in the top 3 positions.

Membership Database Development

I developed a custom club membership management module for the site that:

-Allows centralised management of club membership data and status by committee members, and

-Allows members themselves to maintain their personal data via the website.

-Member emails are synchronized between the membership database, the club newsletter and the forum, which makes it easier to have up-to-date email addresses for all members.

Website Plans

In due course the site will be upgraded to Drupal 8 and will become mobile-friendly (see aforika.co.za for an idea of what it will be like). However, the large amount of data in the site means that migration to the new version will be difficult and will take a lot of effort. We might need to start the new version of the site and link to the old version until the migration is complete or no longer necessary. Tools to help with migration are evolving and I am hoping a viable migration path comes available soon.

Rides Captained

Planned rides to Atlantis and Danielshoogte were cancelled due to poor health. I took one breakfast run to Opstal. Since my health is gradually improving I expect to take a few more rides this year.

3. Clubs Africa Report – Ian Verhulp

For the first time last year, our club had 2 representatives on the BMW Clubs Africa board, and it was a pleasure to welcome our treasurer David ffoulkes to the BCA board.

The highlights from BMW Clubs Africa for 2016 were briefly as follows:

There is still a growing interest in BMW Club life. 2016 ended with twelve motorcycle clubs, two combined clubs and two car clubs with a total of 3413 members.

The commitment of most clubs in organising events to celebrate the 100th anniversary of BMW made us all proud and it is clear that those events have positive spin-offs in many ways.

BMW Clubs Africa’s involvement in the annual GS Trophy and the Pure & Crafted events made us work together on a greater scale with positive results.

We have good relationships with the three bodies that support us, BMW SA, BMW Motorrad and BMW Clubs International.

BMW Club Nigeria, BMW Motorrad Club West Rand, ZA and BMW Owners Club of Kenya were recently affiliated

During 2016 Algeria, Angola, Botswana, Mombasa and Paarl made contact with BCA with requests to be affiliated. These are work in progress.

In October of this year, BMW Clubs International Council will hold its meeting in Cape Town and this is great opportunity for the various clubs to work together in the months to come, to grow and to show the world the beauty of South Africa and the quality of BMW Clubs Africa.
