Dear Vendor:

Thank you for your interest in obtaining a space as an exhibitor during the 110th Annual Session of the National Primitive Baptist Convention, USA to be held August 20-25 2017 at The Sheraton Greensboro at Four Seasons, Greensboro, NC (3121 West Gate City Blvd.). Accompanying this letter is an application for the purchase of an exhibit space as well as a copy of the official vendor contract. Should you desire exhibit space, please complete and return a copy of the signed Vendor Contract along with the Application. Please take a few moments to familiarize yourself with this contract. You are urged to pay close attention especially to the bolded areas, and adhere to the contract provided. Please note vendor space is not open to wholesalers.

Exhibitors are expected to reflect their company’s highest standard of professionalism while maintaining the space during exhibit hours. Exhibit hours will be from 9:00 AM – 9:00 PM daily with break down starting at 2:00 pm on Friday, August 25, 2017. All Vendors must off the premise by 6:00 pm. Exhibit spaces are $450.00 per space and must be paid in FULL by Money Order or Cashier’s Check made payable to: The National Primitive Baptist Convention, USA on or before Monday, August 7, 2017. A deposit of 50% can be made by July 14, 2017 to hold your space. The balance must be paid by August 7th unless prior arrangements have been made.

A space includes: pipe and drape of a 10’x 8’ area; a six foot draped table and two chairs. Security of the items for sale is SOLELY THE RESPONSBILITY OF THE VENDOR. The Convention assumes no responsibility for item security. Vendor setup will begin the morning of Sunday, August 20, 2017 at 10:00 A.M. in the Vendor’s area.

All vendor spaces will be clearly marked with the name of the business. Please confine your setup to the boundaries of your purchased exhibit space. Again, the deadline to receive monies for exhibit space will be Monday, August 7, 2017. We will NOT guarantee any exhibit space without payment in full by this date.

Vendor’s Contract

The following are the guidelines governing exhibits as set forth by the National Primitive Baptist Convention, USA here after referred to as the Convention.

1. No personal or company checks will be accepted

2. Only certified checks or money orders will be accepted. Please DO NOT send cash by mail.

3. Advance payments will be accepted only in certified checks and money orders.

4. All payments must be made payable to the National Primitive Baptist Convention, USA

5. A deposit of 50% (half) must accompany all applications, unless, you elect to pay the exhibit space rental in full.

6. The balance for the exhibit space(s) must be paid by the established deadline.

7. The Convention reserves the right to allocate booth space according to the longevity of a Vendor’s support to the National Primitive Baptist Convention, USA.

8. There will be NO space for exhibits outside of the official exhibit area (with exception of Vendors with a direct association with the work of the Convention – Host Church, National Primitive Baptist Publishing Board, National Primitive Baptist Church School Literature Publisher.)

9. Exhibitors must keep the noise level down when playing tapes. Music is based on personal taste and must be played where only you can hear it. Only Convention principles reserve the right to share music at their discretion.

10. NO FOOD OR DRINK of any type will be sold in the exhibit hall, except, candy bars, chips and gum.

11. Exhibit space will come with table and two (2) chairs.

12. The Convention reserves the right to cancel any contract when there is conflict with the principles of the National Primitive Baptist Convention, USA.

13. The use of the National Primitive Baptist Convention, USA paraphernalia, the Convention’s theme, or the Convention’s logo on items for sale is prohibited by anyone other than the Convention’s designees.

14. Tapes of the Convention programs and activities, past and present are not to be sold unless authorized by the Convention.

15. No Exhibitor shall place a display in such a manner as to interfere with other exhibits or exhibitors.

16. No firm or organization/individual not assigned exhibit space will be permitted to solicit business within the exhibit area, or the convention site.

17. Vendors will be grouped in the exhibition area based on similar merchandise or type.

18. On-site walk up vendors will be accepted only if space is available.

19. The Convention reserves the right to restrict exhibits which because of noise, methods of operation, materials or any other reason, become objectionable, and also to prohibit or evict any exhibitor which in the opinion of the Convention may detract from the general character of the exhibit as a whole. This includes: persons, things, conduct, printed matter, or anything for a character which the Convention determines is objectionable to exhibit or does not conform to the Convention standards or excellence. In this case, the Convention is not liable for any refund or other exhibitor’s expenses.

20. The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury or damage to exhibitor’s displays, equipment and other property brought upon the premises of the Hotel and shall indemnify and agree to hold harmless the Convention, the Hotel and their Officers, Directors, Employees and Agents from and against any actions, losses, costs, damages, claims and expenses (including attorney fees) arising from any damages to property or bodily injury to exhibitor, his agents, representatives, employees by reason or the exhibitors occupancy or use of the Exhibition facilities. The Convention will not be responsible for any failure of electricity or other services. Exhibitors wishing to insure their good must do so at their own expense.

21. Security of items for sale is solely the responsibility of the Vendor. The Convention assumes no responsibility for item security.

22. It is the sole responsibility of the vendor to make themselves aware and adhere to all state laws and regulations concerning retail activities conducted in the state which the Convention is held (i.e. sales tax, city/county and state licenses, etc.)

The exhibitor agrees for him/herself and his/her employees to conform to all laws, ordinances and regulations set forth by the Convention.
