Central Shenandoah Arts - Board of Directors Meeting

Monday, October 16th, Oasis board room

The following members were in attendance: Adriana Hammond, AnikoSafran, MaleaGascho, Sarah Lock, Eileen Shifflett, Jewel Hertzler, Jen Tremblay Director, and guest, Steele Dunn.

(Director) / -Jencalled the meeting to order at 6:05 at the Oasis board room.
Guest: Steele Dunn- experience in poetry, community organizing, fundraising and publicity.
Minutes
Jewel Hertzler (Recording Secretary) / -The board read the minutes silently. Corrections noted were: a second T in Shifflett, a second T in Tittle, and Swezey. Jen motioned to accept, Aniko seconded the motion, and it passed unanimously.
-Last month’s minutes were also accepted with a motion to accept by Jen and a second by Malea.
Treasurer’s Report
Eileen Shifflett
(Treasurer) / -Eileen Shifflett presented the Treasurer’s Report. Jen’s payroll check hadn’t come through, and money for members sales from the store, and sales from the invited artist (Jennifer Connerley) were sorted out. Member sales for August were paid mid-Sept, and Jennifer Connerley sales were paid at the end of Sept.
-Spitzer has netted $35 from the member’s store over the past 2 months.
-Jewel made a motion to accept the treasurer’s report, Aniko seconded, it was passed unanimously.
Director’s Report
Jen Tremblay (Director) / -Jen set her working hours as M and F 10-4. She has been working approximately 14 hours per week.
-The Friendly City Food Co-op will be having their harvest festival on Sunday, October 22, on the grounds of Spitzer. Jen, Malea, Adriana, and Aniko will be there. We will have the member’s store open. Aniko, who is on the board of the Co-op, asked if we could have the silent auction ready for the Harvest Festival, Jewel said she would try to get all ready this week. Several Spitzer members who also work at the Co-op, will be showing their work.
- Jen is working on publicity for upcoming classes, with postings on Facebook, and has done some boosting. She is testing to see if it seems to help or is a waste of money.
-She promoted the Watermedia show, at JMU, fb, and I love my burg. This will be our November show. Drop off for the show is Sunday 29th, and Monday the 30th during open hours. Jen could use help with labeling.
High School Small Works show is being planned for December. Malea asked about having a release form written for students and parents to sign.
-Blackmouth poetry’s reading event will be held at Spitzer on Saturday evening Nov 11th. It will be multisensory, with music and food themed to the poetry. The performers are Angela Carter, Luke Holloran, Chris Louderback and Steele Dunn.
House and Grounds
Jen Tremblay / -On the October 2nd workday, we had about 16 hours of manpower, trimming shrubs, weeding. Sarah Lock, Jen and Jewel worked on the entrance beds for better visibility. Next workday is Saturday Nov 11.
- Rhett Miles painted the garage doors yellow, and made a small sign at the entrance to the parking lot. (He would like to paint the word Spitzer and a red arrow pointing to the parking lot)
-HVAC quote: Excel heating and cooling will be coming to give a quote on central air/heating
-Jewel estimated that to install air conditioner units in the windows would cost from $2,500 to $4,000.
-The parking lot lights are up. Matt Carlson charged $1,405 for the job. They are hooked into the garage circuit.
- KD electric fixed the light fixture in the garage, and has tagged the lawn for the line to the circuit breaker, they will finish up in the next week or so.
-Jen reported that other projects in the works, including: fixing steps in garage studio, finishing kitchen ceiling, removing wallpaper and painting studio #4, re-do of upstairs bathroom. She will get quotes from several contractors. Several mentioned: Ron Dilallo, Russ Linebach (Man with the Van), Chris ______? We decided not to move ahead with the bathroom at this time.
- We discussed getting a committee together to plan for a sign out front. Jen will check into pricing, suggested were: Eddie Edwards signs, Muddy Feet Graphics. Inks could be printed on aluminum for a more modern looking sign. Malea is interested in being on the committee, (Rhett and Zac showed interest at the renter’s meeting).
Membership Report
AnikoSafran / Aniko plans a report for next month.
Events / -In addition to those listed above, is the Silent Auction of Mary Spitzer’s Antiques, Oct 22-Nov 11. (For the past 5 years, the board has debated the best way to get good prices for the antiques in the house. Several items were sold, to buy a folding table and chairs. Green Valley and Evan’s auctions declined the pieces. Selling on ebay, craigslist, and yard sale were all discussed. A silent auction, publicized, seems like the best way to get people in the door and perhaps a great fundraiser.) Jewel and Jen will work on this.
- Adriana and Jen will be working together on future events for 2018
Rental / -Olivia Sterling is applying for Studio #4. Jen will check her references and forward her application to board members.
- We discussed renters with late rents, hostile behaviors, implementing new policies and contracts.
-We discussed exploring property management company rates.
Education
Barb Gautcher / Classes coming up include: Pinhole camera- Oct 29, Nov 3, water media show- November 3, VMFA workshop- Nov 4, Plein Air pastels- Nov 18, Wreath workshop Dec 8th.
Public Relations / -Insert/rack card is finished. It has several typos, but it was decided not to spend $ on having it re-done. Business cards are also printed.
-Discussed hiring a graphic designer to work on brochure, rack cards, posters and other promo needs.
New Business / We discussed hiring someone to do the Saturday hours, who could possibly do promo as well.
