A D D E N D U M # 1

Reference is made to Invitation to Bid #SPU-2385 dated 11/18/08. Bid opening date has been updated to 12/12/08 at 2:00 pm for Mobile Trailer repair, parts and on-site services.

The following questions and answers shall be made part of the Invitation to Bid:

Optional Pre-Bid meeting was conducted on 11/25/08 @ 9:00am. Prospective bidders who attended and emailed requested clarification on the following items listed on the specification/offer form and solicitation:

1.  Question: How many annual site visits do you expect the winning bidder to make?

Answer: A little over 100 trips. The current Vendor does a consistent twice a week visit to stay on top of the workload. They have experienced between 1 to 4 repairs during those bi-weekly visits. The City wishes this trip frequency to remain the same.

2.  Question: Can you add Rate per visit on your offer form?

Answer: No, the City expects the bid price to include repair, parts, on-site services, pick-up, delivery and travel time.

3.  Question: How does the City handle collision repairs on their trailers? Is this a scope of work that can be added to this contract?

Answer: Collision repairs are mostly done in-house or through our risk management office. So far, we’ve only had one claim for a collision. The possibility is minimal, therefore the City will not include this in the scope of work.

4.  Question: Does the City have a preventative maintenance schedule for your trailers in the transfer stations? If so, what timetables do you have 60 or 90 days?

Answer: The City does not currently have an official mechanism to track the preventative maintenance for our mobile trailers. The City reserves the right to coordinate preventative maintenance schedule with the winning bidder.

5.  Question: The Federal Highway Administration Periodic inspection is now controlled by the Federal Motor Carrier Safety Administration (FMCSA) and referred to as the “The DOT Annual “ requirements per CFR49, Part 396.17 & 396.25).Will the potential bidders be required to comply with these new requirements?

Answer: Yes, potential bidders shall adhere to this new requirement as a standard requirement for this contract.

6.  IMPORTANT NOTE: The City has issued a Revised Offer Form (see attached document). This form supersedes the original offer form. Submit your bid in this revised offer form or the City will reject your bid.

In all other respects, the Invitation to Bid remains unchanged.
