ANNUAL GENERAL MEETING

The Deputy Mayor of Poole, Councillor Ray Smith, accompanied by his wife, Mrs Jean Smith, attended the meeting to present the Certificates of Commendation.
1.APOLOGIES FOR ABSENCE
Apologies for absence were received from P. Impett, Mrs M. Haydon, J. Burrows, P. Berry, Ms M. Wetenhall, Mrs L. Lockton, J. Robertson, Ms J. Taylor and M. Aireman.
2.MINUTES OF THE ANNUAL GENERAL MEETING – 18 JUNE 2003
RESOLVED that the minutes of the Annual General Meeting held on 18th June 2003 be received as a correct record.
3.WORKS OF THE SPORTS COUNCIL OVER PREVIOUS 12 MONTHS
The Honorary Secretary submitted a report detailing the work of the Executive Committee during the past year. The report explained that the Sports Council had been consulted on various projects which were as follows:-
- Learoyd Road Playing Field
- Administration of Dorset Sports Awards
- Possible privatisation of Poole Council’s Sports Centres
- Staffing of Sports Development Team in Leisure Services
- Best Value Review of Sports and Recreation
It was reported that the Sports Council had, in conjunction with the Borough’s Leisure Services, awarded Sport Development Grants to individuals and clubs totalling £4,662.
4.REPORT OF THE HONORARY TREASURER
The Honorary Treasurer submitted the accounts for the year ending 31st March 2004, showing an end of year balance of £930.74. He reminded members that the subscription fee of £5 was due for the year 2004/05. It was noted that any donations would be gratefully received. The Treasurer thanked Mr C Sugden for auditing the Accounts.
RESOLVED that the report of the Honorary Treasurer be received and he be thanked for his work during the year.
5.ELECTION OF OFFICERS
RESOLVED that the following Officers be elected until the Annual General Meeting in 2005:

The Secretary informed the meeting that he would be made redundant as Head of Democratic Services with effect from January 2005. He informed the meeting that he would be able to act as Secretary for another Municipal Year, but would not be able to do so after this period as he would not be employed by the Borough of Poole.
The Secretary informed the meeting that Mrs B. Stannard had created employment with the Borough of Poole. The Chairman highlighted that she would be sorely missed and thanked her for all her hard work.
RESOLVED
(i)that Mr R Harris be appointed Secretary until the next Annual General Meeting;
(ii)that Mr M Saunders be appointed Assistant Secretary until the next Annual General Meeting;
It was AGREED that an item would be added to the next agenda to discuss the vacancy of Honorary Secretary in 2005/2006.
6.APPOINTMENT OF THE EXECUTIVE COMMITTEE
RESOLVED that the under-mentioned representatives be appointed to the Executive Committee until the Annual General Meeting 2005:
(a)The Officers elected under M.5 above.
(b)Three representatives of the Borough of Poole (Councillors Adams, Gregory and Wilson).
(c)One representative from Poole Harbour Commissioners
(d)All life members of Poole Sports Council
(e)Under clause 3(e) of the Constitution one representative from Poole Sports Charitable Trust
(f)One representative of Christchurch Sports Council – R. Holiday (non-voting)?
(g)Under clause 5(b) of the Constitution Officers from the council of the Borough of Poole (non-voting)
(h)Under clause 5(c) of the Constitution any individual living in the Borough of Poole interested in Sport willing to abide by rules in 3(a) of the Constitution; and

9.DATE AND TIME OF NEXT MEETING
The next meeting will be held on Wednesday 8 September 2004 at 7.00pm at the Civic Centre, Poole.
10.PRESENTATION OF CERTIFICATES OF COMMENDATION
The Chairman informed the meeting that the Deputy Mayor and himself would be awarding the Certificates of Commendation.
The Deputy Mayor expressed his appreciation for all the hard work carried out by Committees, instructors and more importantly, the excellent individuals achieving wonderful results.
The Chairman highlighted the importance to keep developing sport in Poole, and stressed that more people should be encouraged to take an interest.
The Chairman, on behalf of the Sports Council, paid special recognition to Mr R Harris, Secretary of the Sports Council for over 25 years. The Chairman expressed his disappointment of loosing the support of Mr R Harris who had been responsible for the success of the Minithons and generating income for the Sports Council.
The Chairman and Deputy Mayor awarded Certificates of Commendation to the following individuals and teams:

- Corfe Hills School Intermediate Girls Medley Team – comprising: Giselle Arnold, Natalie Coles, Elaine Lewis and Sarah Meaker.
- Talbot Heath School Junior Girls Free Style Team – comprising: Emily Freeman, Sabina Heywood, Hannah Jenkins and Kimberley Rowles.
- Parkstone Grammar School Under 13 Years Team – comprising: Sophie Blung, Cat Lees and Charlotte Ryall.

Freddie Rowe Sports Cup
The Chairman reported that each year the Sports Council awards a prestigious cup in memory of the long time Chairman of Poole Sports Council, Freddie Rowe OBE.
This year the Sports Council had great pleasure in awarding the Cup to Monica Phelps for her truly outstanding dedication and contribution to gymnastiques and trampolining.
