MINUTES OF THE VOCATIONAL COMMITTEE HELD AT MAYFIELD HOUSE

ON 9-05-11

Present: Rtns Tony Roberts, Barrie Ellis, Peter Hall, Malcolm Humphries SVP, Paul Smith and David Shannon (Chairman of Voc). Since this was technically the “meeting in waiting” DS welcomed Peter Hall and Barrie Ellis to their first meeting. He also noted that David Tranter had joined another committee for and had sent his apologies.

Minutes of last Vocational meeting were approved and signed

Matters Arising not on the agenda. PS had asked for a date for Seniors Out but this had not yet been confirmed. There was no news about Merkur House, but DS would contact Rtn Peter Pay and see if a meeting with David Taylor had occurred.

Activity since last meeting

The Music Festival had gone well, but there were some points to note for next year. We need to send boards round to have Rtns sign up to commit to staffing the heats. There had been a staffing crisis on the second evening, which coincided with a Club Council. On the finals evening, large numbers of participants and supporters caused problems. We needed staffing upstairs to help keep noise down, particularly during performance. The event cost each of the clubs around £150.

Members of vocational were active in supporting Blood Pressure day and “Child’s Play”. When signing up Rotarians to staff these events, the tables should show how many stewards are needed at each time. Otherwise we have people giving up time to stand around. For example on “Child’s Play” we need lots at the start but then only two stewards with knowledge of camping to secure the marquees in bad weather. We then need lots of bodies to help dismantle and pack away. We await Brian Midgely’s instructions on who is needed for “Kids Out”.

Planned activity for 2011-12

We would be interested in establishing a Rotaract or Interact group. MH will get details of a contact and will tell DS. Cost anticipated :na

We looked at plans for a Choir Festival like the music festival and concluded that to avoid clashing with the “Mayor’s Choir Competition” in November it would be best to aim for June/July 2012 or late September/October. PS would draft a letter to research timing and participation by schools. We would need some funding for hiring venues and prizes. It was thought the Mayor gives a box of chocolates to each choir in the finals and two prizes of £100 and £50 for the first and second choirs. Cost anticipated: £150

Magnus activity. DS would check with Peter Pay then arrange to see the head, Ian Anderson to see what enthusiasm there might be for RYLA, Youth Speaks but NOT a Showcase until perhaps 2013. We might be able to arrange other support at nil cost. Cost anticipated: £350

Tuxford School. DS would see Nicola Manning when he delivered the redundant electrical goods. We now had three mobile phones, a router and some micro-filters to pass on after Monday 16 Rotary meeting. It might be interesting to help Tuxford run a Showcase so we could harvest good ideas from another source? DS would see if there was an event to which Rotary could offer to bring primary pupils from within the Tuxford family. Rotary to pay for buses to take, the pupils would be collected afterwards by their parents? Cost not exceeding £250

Music Festival dates set for Tues 28 Feb-Thurs March 1 (heats) with final Wed 7 March/Thurs 8 March. Cost anticipated: £150

AOB and Dates for meetings (quarterly) Agreed Sept 5, Dec 5, March 5, June 4 with other meetings as might be required before major events (i.e. Music Festival). Meeting dissolved into general enjoyment of refreshments at 8.45 pm; finally finishing at 9.45 pm. DS 10.05.11
