Minutes of the September 19, 2011 Meeting of the 2011 Club Nationals LOC

Chair Bob Springer called the meeting to order at 6:34 p.m. in the meeting room of the Seattle Parks and Recreation Building 100 Dexter Ave N, Seattle. In John Boesche’s absence, he had asked Bob Langenbach to be Secretary.

Attending were Bob Springer, Bill Roe by speaker phone, Neal Stoddard, Patrick Dwyer, Carole Langenbach, Darlene Hickman, Bill Hickman, Geof Newing, Bob Langenbach, Patti Petesch, Jason (JD) Drake, Steve Hatzenbeler, and Kenny Emerick. Saul Kinderis arrived at about 6:55.

CHAIR’S REPORT: Bob Springer said that we already have about 240 room nights reserved at the Renaissance Hotel. Since the guarantee is 400, we are well along. Meet registration will be up on line after Bill Roe talks to Andy Martin at the USATF National Office. The hotel rooms will have free WiFi. Bill Roe and John Boesche had talked to the hotel about corkage charge if we get our beer kegs from the Georgetown Brewery. It would be $150 per keg, but if we get the kegs from the hotel it would be about $400 per keg.

MEET DIRECTOR’S REPORT: Jason (JD) Drake said he talked to Sean Laughlin (the person providing the timing chips, the sensing mats, and other associated timing and finish line equipment) about the check–in procedure for the chip timing.

COMMITTEE REPORTS

Chairman Springer had asked for information from all the committees and reported for them. He said he would have the information on his spread sheet posted on the web so the acting secretary didn’t need to take notes on this.

CONTINUING BUSINESS

Post Race Party: Bill Roe reported that it would be held at the meet hotel (The Renaissance).

Website Information: Bob Springer said it is not up yet. Bill Roe said he will get with Andy Martin on it. It needs info on the pasta feed and how to get tickets, team tent rental ordering, the $25 Club Team fee (which will be refunded after the team manager’s presence at the Technical Meeting), and the course map, among other things.

Course Layout: Patrick Dwyer said Steve Hatzenbeler is going to work with Larry at the Golf Course to clear with Larry the changes to the course necessary so runners can bypass the start area on succeeding laps.

Clerking/Start Line Procedures: Darlene Hickman said the clerks will check chips, bibs, team uniform, and masters age division back numbers before letting them into the start area. Geof Newing suggested that after checking the above items that the clerks put a BIG felt pen check on the bib so all will know the athlete is cleared to be in the start area.

NEW BUSINESS

Vehicles inside the Golf Course: List provided to the acting Secretary by Bill Roe.

Kenny -- large truck

CNW/PME -- two vans

Officials -- trailer*

Sean Laughlin -- vehicle for timing/chip equipment (probably large SUV)

Dave Walmsley Sound -- stage truck

Seattle Sports Medicine Clinic -- large trailer truck (or an ambulance if we use UW Team Medicine)

Some discussion followed and it was agreed that at least one ‘Gator’ would be needed to lead the runners around the course.

Chip Recovery: Bob Springer said that one High School team had volunteered to do this. The needs are folding chairs for the chip removers, snippers/clippers for each chip remover, and several buckets to collect the chips.

Greeters at the Airport: After some discussion, it was decided that the signage at baggage claim and on the way to the light rail station would suffice. Saul Kinderis was asked to make sure his video of getting to the light rail from baggage claim and on to downtown must be on the web site.

Next Meeting: 5:30 p.m. on Monday October 17, 2011 at the Seattle Parks and Rec Office at 100 Dexter Ave. N. (Dexter and Denny) prior to the PNTF Board Meeting.
