Minutes of the meeting held on Tuesday 23rd April2013

Present:

Jackie Wood, (JW)Melissa Stroud (MS),Kay Meakes (KM), Dan Wirth (DW), Mike Paine (MP), Justin Nicel (JN), Lauren Purnell (LP)and John Scott (JS).

1. Apologies for absence:

Amanda Davies, Justine Woods, Richard Lafford, Caroline Nash, Claire Butterworth, Jo Baldwin, Vicki Jones, Clare Hawkins, Rhoda Elvin, Nicky Ray, Helen Robinson, Su Potter, Lisa Glasspool, Jim Lees-Smith, Helen McIntyre, Jo Horvath, Carole Head, , Kelly Brennan and Annette Kingston.

2. Minutes of the Last Meeting:

DW to check emails and send out prevous minutes

3. Treasurer’s Report

Barn Dance was £171 loss, numbers down had 40+ people needed 60+ to break even and make profit. JS suggested better advertising needed. Miss Ash didn’t get her 2 free tickets

Action DW to look into refund of monies.

DW would like people to think of new ideas, maybe scale events down in next school year and perhaps use kids to raise money ie challenges.

Action – all to think of ideas.

4.Funding Requests

a) Roof Project – a team from PTA met with governors looking to put canopy near Allen Wing in KS2 playground. Zoe Perks sending definte quotes to PTA once received, then Richard Lafford to seek funding.

b) KM saw Mr Keepax (BK) re rugby kit funding BK got sponsor but might need £120 to go towards purchasing kit! This was agreed in principle with all at meeting. Agreed that pride will be raised of school if teams look good.

c) Mathletics we paid for 1 year trial, which is nearly up (Mr Morsley), need to find out from teachers if want to continue.

d) Mrs Wood – Year 2 would like £450 for group to come in regarding a Year 2 history project. MP said PTA had agree £1200 a year @AGM for 4 productions.

Agreed by all at meeting.

5. Fun Run 17 May 2013 – 6-8 pm

JW to see Shane re gas bottle.

BBQ to be run using raffle tickets again which solves queue problems.

Volunteers – MS to sort by email

2 on till, 2 on BBQ, 2 on drinks/sweets, people for set up and tidy up.

Registration needs 7 tables

10 laps of field

Teachers OK to stamp sheets (JW arranged)

Action – JS to ask Helen Scott to take event photos.

Action – JN to liaise with Amanda re rolls (nb Amanda says don’t worry this time as the rolls need to be a certain size so she gets them with burgers!)

6. Future Event – Summer Fete- 14 June 2013

Stalls update from KM – all good

DW – has had query from Little Stars pre-school to man a stall – agreed if not taking profit.

Rocksteady booked for Arena by JW

CN dealing with Fire and Police

Action – LP to ask Summit Judo to attend.

BBQ all ok with Amanda D

Hot drinks to stay inside no wandering around outside (need signs) (confirmed by JW)

Amanda and LP to attend fete

Volunteer rota needed for stalls

Action – LP to action emails re advertising in program (do we have theme?)

Non school uniform day – week before?

Action- JW to check dates with ZP and confirm

Raffle – Christine MCg still doing – proper printed tickets deadline 20 May for sending tickets out or we will miss YR6 on PGL.

Action – MS to let JN know Christine’s email as maybe able to source prize.

7.Summer Disco -28 June 2013

Action – MS to do fliers for JW

JW to ask SP (Sue P?) re set up

MP can run it (can’t set up!)

Any helpers need CRB can’t help out otherwise.

FS require party games organised by PTA member!

Volunteers – 2 doing drinks

2 – in hall

FS BBQ to discuss at future meeting.

8Roles and Responsibilities

Due to a change in circumstances CB to step down as Treasurer (can help in meantime but would like to leave soon)

The PTA would like to thank CB for all her hard work during her time as treasurer.

Action – MP need to send letter to whole of school offering position out.

PTA cannot run without treasurer.

9Any other business
