/ JM ran through the results of the 2015 survey and the action plan.
  • Over 11,000 emails were sent out with a link to the online survey.
  • Patient were also asked to complete the survey in the waiting rooms
  • The Practice received 557 responses to the survey, which was the third year on year increase.
Action Plan 2015 – Practice Priorities

Patient Survey 2016
  • Launches March 2016
  • Online Survey
  • Email & text invitations
  • Completed & results published (on website & in surgery) by 31st March 2016
The proposed questions for the 2016 Survey were reviewed and amendments discussed .
How to circulate the Survey and collect the best responses was discussed. At present the link to the Survey is emailed to all patients the Practice has an email address for and sent via text message to the patients the Practice have a mobile telephone number for.
Mailing out the Survey was discussed but this was not thought to be cost effective.
Handing the survey out to patients as they call into the surgery was also proposed.
Adding a message to the check-in screen to prompt patients to ask reception for a copy of the survey was suggested and felt to be a better option than handing a paper copy out to all that attend the surgery.
It was also suggested that staff could contact a selection of patients via telephone and ask them questions from a simplified version of the survey, however it was thought this would be very time consuming and not give a complete survey response.
JM asked if the PPG would like more input in the questions asked. It was thought that this meeting was the best way for this to happen.
  1. Unity Health PPG – the way forward
/ Currently the PPG Group
  • Meet 3-4 times a year with Practice staff
  • Agenda driven by Practice management
  • 2 Groups – Student and Residential
In the future?
  • Group meets with & without Practice staff present
  • Agenda driven by patients and Practice
  • One Group
JM asked if the PPG members would like to have more input into the agenda. PPG members were happy with being asked to suggest discussion points via the meeting invite.
PPG members thought it would be very beneficial to hold a joint Student and Residential PPG meeting and stated they would be willing to travel to the York Campus Surgery for the meeting. It was thought that an evening or even a Saturday morning meeting would mean more members would be able to attend and this may encourage a wider age range of patients wishing to join the PPG group.
JM asked the PPG members if they would prefer to meet with or without Practice staff being present. The PPG group decided they would prefer a member of staff to be present as it is quicker and easier to clarify points with the Practice if staff are present at the meeting.
  1. Coming Soon
/ JM discussed the new lunchtime coffee club at Wenlock Terrace that patients who have been recognised as elderly and living alone are to be invited to. . Members of the Student PPG group suggested that this would be something that student volunteers would be interested in helping with.
JM asked for input on any new initiative the PPG may have on how the Practice can engage with its patients outside the surgery.
