Minutes of Librarians’ Meeting 22 February 2013

RESOURCES
Databases/eBooks Update (MI) MI reported that the CQ Researcher problem is now corrected. An updated database list has been sent to S. Kimball for uploading.

On the eBooks front the Council of College Librarians recently voted to allow a 48 hour check-out period for eBooks, so we will need to make some changes to accommodate this, but we will wait until a reported system bug is fixed.EPub is the download standard and some free Adobe software will need to be loaded on the client computers. MI shared a “cheat Sheet” that will be made available to patrons.

MI reviewed our eBook history – noting that we had started with NetLibrary, who had been bought out by Ebsco. We have since added a Springer collection of approx..4000 eBooks. The Springer Marc records are in the catalog, but not yet fully integrated as we have not yet modified the URL’s for WAM. When we recently renewed our Gale databases we got 6 well-reviewed eBook titles, including “Cuba: People and Culture”,” The Gale Encyclopedia of Fitness”, “The Gale Encyclopedia of Mental Health”, and “The Literature of War.” These titles will require yet a third platform and we will have to determine how to modify these URL’s for WAM. There is a WAM standard, but matters can get complex when using several different vendors. MI will be sending screenshots of the new titles and she asked the librarians to please try accessing them on campus, as the Ebsco and Gale interfaces differ. There is no DRM (Digital Rights Management) on the 6 new titles, but the books are scanned in units, not individual pages, so downloading and printing is also done in units/packets.
EM reported that he had spoken to Ms. Gleason re: ERM funding. The new Foundation means to reduce funding. There is no more funding for ERM books, and the periodicals and Databases budget must be halved. The new Foundation wants to instead fund new and innovative projects with the library. Luckily we had already made plans to reduce our hard-copy periodicals expenditure in this area from $9000 to half, and EM and MI will be meeting with Nursing Director Kyle to discuss the database situation. MI recommends keeping the Ebsco databases and dropping the Gale. AG repeated that the Foundation still wishes to fund innovative projects so we should think of some ideas. MI mentioned that there are good eBook collections in the field but more vendors may further complicate the situation previously described.

Tax Forms Update (SD) SD will be taking over the Tax forms duties. SD reported that he has ordered the forms and that they have started arriving. The CA forms are out in the lobby area. As more forms arrive, tables will be set up in the lobby. Next week we expect the Federal 1040 forms. EM noted the 1040 instruction booklets are usually a little later in arriving, but the IRS site is easy to use. AG advised monitoring the forms use to see if we should maintain this service.

Law Collection Titles Cancellation. (AC) AC shared a list from Dr. Pham, noting that the list was out of date as many titles had already been cancelled circa 2011. AC mentioned concerns that had been shared re; gaps in the collection should we change our minds or change vendors. AG noted that any choice involved budgetary consequences. AG shared a concern about not having any print law titles for the general patron. AC asked the librarians to look at the titles slated for cancellation, and to contact her with any concerns. The paralegal department wants students to have access to the West Collections, but our budget cannot support the purchases. The paralegal faculty also feel that online is cheaper than print, so this is the direction they wish to move in via individual student passwords.Discussion followed on the value of Nolo books for the general user, and the fact that Pasadena Community College has dropped its print collection in favor of passwords, reserving a password for the Ref staff for general queries.MI recommended NOT purchasing the Westlaw Campus Research database. It was decided that we will keep what print we have, and not get any updates. We will inform patrons that the print collection will be discarded as it becomes unviable. We cannot resolve all the potential concerns raised, so AC recommended moving ahead with the cancellation of print titles, with reservations. AG also recommended AC scheduling a demonstration of the aforementioned Westlaw database in case we find ourselves with some extra monies.

PLANNING

Satisfaction Survey(EM)EM noted that it is time for the annual satisfaction survey, usually administered in Spring. EM will bring the old survey to the next Unit Council meeting for discussion RE: possible redesign or new questions. EM would like to administer the survey after the Spring Break.

AG shared news that the college had been put on warning re: SLO’s. It was noted that the LRU’s compliance efforts had been hampered by the inefficiencies of the Curricunet system.

Library Administrative Policy and Procedure 4040 (AG) Administration is asking for a Procedure to accompany Policy 4040. We do have a 2008 procedure that was seemingly never uploaded, so AG wondered if it needed updating. AG provided a handout of the Policy and 2008 procedure, as well as copies of the procedures of other colleges for comparison. Please review the documents and this item will be a top priority for our next meeting.

PROFESSIONAL DEVELOPMENT

Meeting with Counselors (Upcoming) (MI) MI usually attends the career counselors monthly meetings, and was asked to give a half hour demo of the general databases to all counselors. AG asked MI to also highlight our orientations for those counselors who teach a class.

Embedded Librarian (CS) CS reported that she, SD and MI are attempting to establish a pilot program to try out the embedded librarian concept. CS and SD have been invited to speak at the next Humanities meeting on the topic. A handout has been prepared and we hope to get 3 Humanities faculty to work with the three librarians. There are many forms of embedded librarian, but we want to start small and work closely with a class and faculty member on research issues. It is hoped to begin with classes like FYE, Basic skills, or Honors classes, where the need might be greatest.

MARKETING

Library Advisory Committee Meeting (AC) AC has convened a LAC meeting on Thursday 28th at 2pm in Room 202. She has received 16 acceptances to date. The main topic for discussion will be marketing activities associated with the grant and Muslim Collection, but please email other topics to AC for inclusion on the agenda. MI noted that she is working with Dr. Baker (History) to spend the few remaining dollars from the Fulbright Grant on books dealing with Vietnam and SE Asia.

READ Poster (EM)EM noted it was time once again to select nominees for the READ Poster event which forms part of our April Library Month activities. National Library week falls 14- 20th April. Please send names to EM, EM will also look at past submissions. We usually have 2 nominees. CS suggested D. Manno.
AG presented EM with an Applause card for outstanding service.

OTHER

UCLA Interns (AG) UCLA will host the intern fairs on 2 Fridays in April – the 12th and the 19th. The 12th falls during spring Break, but DB indicated that he might be able to represent ECC on the 19th. Any other interested librarians should let AG know so that she can notify Kerry Botello.

Diversity Workshop Mr. Robles will be working with B&SS to put on a workshop/presentation on the Tucson School district and their attempt to remove ethnic studies. The presentation is scheduled for 1pm in the East Dining Room on May 16th.

ECC Library Instructional Videos (SD) SD has been working with Camtasia software to produce some library and LRU videos. SD demoed videos in three different styles and pointed out the advantages and possible disadvantages of each style. One was voice over, one features text boxes with music, and one featured the librarian’s face. Please let SD know which style you feel would be most appropriate for our purposes. SD also talked of some of the other advantages the videos could offer, such as including a quiz on the content , that is tallied and reported back to SD by Camtasia. The videos can be accessed directly from screencast via URL, uploaded to YouTube, or (in co-operation with IT or Mr. Brenes, directly to the ECC site. SD also showed the captioning capabilities. AG noted he could get more help and information in this regard from Mr. Krause of the SRC.

Scanner/Copy Demo (NM) NM demoed the new machine in the microfilm room. Students can print , scan and copy to and from their usb drives. If students are going to use their usb drives, this should be put into the machine first so that the machine can find and recognize the drive. All documents must be scanned and saved as PDF documents. The student will begin the job, and only later in the process be asked to insert money or account information. . There is a green start button.

Print jobs do not have to be pdf, only scan jobs.

The underscore button is a challenge, please get familiar with this. Students must log out after using the machine.

Hit scan to USB , then Accept, then scan page by page, . If it is a word doc, it must be resaved as a pdf.

The machine only handles regular 8 ½ by 11 documents. No oversize or 2 to a page jobs.
