Welcome

Lynn welcomed everyone to the meeting and went on record to record thanks for all the hard work that had taken place over the previous year.

Lee reported that there had been 38 replies to the invite to the AGM with one person wishing to attend.

Minutes of the last AGM

The minutes of the last AGM were agreed as a true record.

Matters Arising

It had been reported that the Coffee morning and events had not been posted on the school website. Lee explained that this had been rectified and put right and now the years coffee morning dates and times were now available. It was agreed to carry on with the events despite the low attendance at some of the events.

Chairs Report

This was presented at the meeting by Lynn verbally. We have held the following events since the last AGM which have all been very successful and well attended by parents and carers.

Treasurer’s Report

Please see attached statement of financial year and report from main account and details of this year’s annual accounts.

Appointment of Independent Examiner

It was agreed that Sarah Cochrane has been able to keep the accounts very organised and has agreed to be the independent examiner for the next financial year.

Election of committee Members and officers

Lynn Kiping was reappointed FOTOS chair person

Lee Daviswas elected as secretary and Helen Crawford as treasurer.

Vicky Ross was duly appointed as external events coordinator

Andrea English is happy to remain as honorary president of FOTOS and Clive Hubery was elected vice chair person

FOTOS is a busy and thriving organisation. It was agreed that Myra would be available to support Lee as vice secretary and that Carol would support Helen as vice secretary due to school commitments.

Dawn Norman was co-opted onto the committee, all committee members were duly reinstated.

Funding information

A request has been made for £500 from the 6th form to help provide financial support for a residential trip to Blackpool next year. After lots of debate the monies were duly granted.

Any other business

The Chair, the vice chair and the honorary president would like it put on record a big thanks to all the members of the FOTOS committee for their hard work.

We received £230 from Spennymoor Bowling club who held a ‘Stars in their Eyes’ event which some staff attended. Lee will write a letter and visit later this week to say thank you in person.

Helen received some information from a company called the Scotto Trust who provide funding for projects. Helen has a meeting next Tuesday with the trust and Spennymoor Area action Partnership.

Matthew Wood’s mum, Lisa is having a hard time at the moment and Helen has sent flowers to cheer her up. Lisa has been responsible for raising thousands of pounds.

Helen confirmed that Cockfield Co-op has agreed to donate a penny for every pound spent.

Gillian has taken extra copies of the Swimathon form as she may be able to get a team to swim for The Oaks School as well as having our own team.

Mrs Crawford has agreed to reissue instructions to staff in school with regard to how funding from FOTOS works.

Letters are to be sent out to parents/carers and staff with regard to prizes for the bingo and tombola.

On Tuesday 15th November FOTOS Committee members will be coming into school to sort out prizes for the various events as well as Gift Aid any donations received.

Future events

There was some discussion of the future of the summer fayre and ideas put forward were to hold it on a Sunday afternoon or Friday afternoon following a similar format to Enterprise Fayre.

FOTOS are going to have a stall at Enterprise Fayre this year where they will sell donations from parents, carers and from unclaimed lost property.

11th November –Bag2school event with two more events to be agreed.

9th November – Bodyshop and Yankee Candle party which will be at 6.30pm for coffee and a cake. The price was agreed at £2.00.

Chocoholics catalogues have been sent out to parents, staff and carers.
