Minutes of August 7, 2002 Users Group Meeting at North Versailles Public Library

Bylaws

Voting of the revisions of the Users Group Bylaws will take place through the mail. Ballots will be mailed shortly. Since committee members are part of the steering committee, the members-at-large position has been eliminated. Officer terms will now be 2 years. Jo Ellen Kenney suggested that the Users Group should have a representative on the eiNetwork board. Some felt that the Chair of the Users Group should be on the Board. During the discussion of this issue it was mentioned that ACLA chooses four representatives to the Board.

ILS Migration – Joan Morris

Joan gave an overview of the migration activities. A 15-member project team oversees the project and meets weekly. Consultant Sue Epstein makes monthly visits. The task forces do major work. Patron test task force is the newest committee. Monthly letters about the project are sent to directors, reports are given at the User Group and summaries are provided on enlibs. The members’ page also has information. Full training (circ. & cat.) was provided to 8 people. All tables are complete and Innovative will be copying the tables over to the production server. The parameters/profile task force did a lot of work. In III the circ. the owning library governs rules and therefore it was important to unify policies as much as possible. The training task force found sites and tested wireless. Registration for training is available online, which will run until October 10. Eight people are in a training session, handouts are provided and they are 9 to 5 sessions. Please call to cancel if you can’t make a seesion. New staff members should not attend these sessions. A director’s level training overview session is pending, as well as acquisitions. A day for shelf list training costs $1,000 and is limited to ten. Catalog training is ongoing. Serials training will take place in December. Reports task force is working on lists of reports needed and customizable lists. WEB OPAC is working on customization. The database task force has almost completed testing. There are some serial holdings and patron database migration concerns.

Joan discussed the features of Innovative. Patrons can place hold. In the beginning they will be mediated holds, since some cleanup is needed concerning volumes. It is possible to create lists for such things as large print, videos, etc. Searches can be limited to material type. Scoping, limiting searches, is available for library location, branches, geographical region and children’s materials. Call number searching is available, but can’t have Dewey and LC, so some work needs to be done for CLP. It is possible to look up the last patron who checked out a particular item. Local requests are not available. Handout on deadlines is available on the member page.

The new CLP website will be unveiled August 28.

EiNetwork Updates – Andrea Clarkson

Bobby Hassain is now in charge of the Call Center and Andrea is in charge of the CSM. Please use the Call Center for supplies, etc. during training.
