Booth Information

All booth spaces are located in the Key Ballroom on the 2nd floor of the Hilton Baltimore Hotel.

8’x10’ Booth Spaces

Booth sizes are8' x 10' with 8’ back drape and 3’ side rails.

Your booth includes an ID sign only. Tables, chairs, and other furnishings must be rented from Shepard Expositionsat an extra cost.

There is carpet in the hall.

 Each booth is entitled to 3 complimentary Congress registrations. Additional exhibit representatives are $25 per person.

Booth Space Assignment

Requests from Platinum, Gold, Silver and Bronze Partners receive top priority when space is assigned. After their space is assigned, all other reservations are processed on a first-come, first-served basis.

When we receive your payment, your booth assignment will be confirmed by email beginning in mid-October. Payment may be made when registering online with a credit card. Only fully-paid booths will be assigned space.

Please Note

  1. Most exhibit time is 60 minutes in length. Exhibitors/Partners are invited to use the time creatively, e.g., host book signings, short presentations, or interactive activities with participants.
  2. On Saturday, Feb. 16, we expect a large group of catechists, volunteers, and Hispanic and Filipino ministry leaders. This day will be promoted specifically to those groups.

Exhibit Decorator Information
Shepard Exposition Services has been retained as theofficial general services contractor for the 2019 Mid-Atlantic Congress.

When you have reserved your booth space, you will receive exhibit decorator information via email to order booth furnishings. There are no tables, chairs or other furnishings included with your 8x10 booth space. The exhibit hall is carpeted.

Exhibit Cancellation Policy
Cancellation refund requests must be made in writing. Send your written request to: Attn: Exhibit Cancellation, 4725 Dorsey Hall Drive, Suite A, PMB #709, Ellicott City, MD 21042.

For written cancellations postmarked before or by December 15, 2018, a refund of 50% of the exhibit registration fee will be given. For notifications postmarked after December 15, 2018, no refund will be given.

Accommodations and Travel

The Congress room rate is $169.00 plus tax for single or double occupancy. MAC Room Ratesare available from three days before and to three days after the Congress. Free wireless is included.

Registration may be made directly with the hotel or through the MAC website. The cut-off date is January 23, 2019.

To maximize lodging, consider double occupancy.

Please note:When we do not reach a minimum number of sleeping room nights in the hotel, the MAC pays a penalty. Help us eliminate that penalty in two ways: (1) Stay at the Hilton (this rate is $25 less than in previous years) and (2) only reserve the rooms that you need. Last minute cancellations mean other people may not be able to stay at the hotel and may mean the Congress costs increase.

Air Travel

There are three airports that serve the greater Baltimore-Washington area.

  • Baltimore/Washington Thurgood Marshall International Airport (BWI): BWI is located along the I-95 north-south corridor and about 10 miles from the Baltimore downtown area. Major airlines into and out of BWI include Southwest.
  • Ronald Reagan Washington National Airport (DCA): Located across the Potomac River from downtown Washington, DC, in northern Virginia, DCA is about 41 miles from downtown Baltimore. United, American, Delta, and USAir are major carriers into and out of DCA. Union Station which goes directly into downtown Baltimore is accessible via the Metrorail from DCA.
  • Washington Dulles International Airport (IAD): In the western suburbs of northern Virginia, IAD is the farthest away from Baltimore at 70 miles. However, it is often the easiest airport to use to get non-stop flights especially to and from the west coast.

Ground Transportation

Each of the airports is served by various ground transportation carriers. Washington Flyer serves DCA and IAD while SuperShuttle serves BWI. Visit their websites for more information on cost and schedules.

Downtown Baltimore can be reached via Amtrak trains ( Penn Station is the primary stop) and Light Rail (mta.maryland.gov/light-rail) from BWI airport. The Light Rail is $1.60 each way. See the conference web site for more details on schedule and maps.

Parking

Parking is available at the Hilton Hotel for $36per day for in and out privileges. There will be a list and map of parking alternatives at the MAC website.
