Executive Summary
The Reporting Needs Assessment Survey was distributed to 611 agency customers comprised of F&A and Purchasing Liaisons, Directors of Administration, customers with the Analysis group, and those who recently attended Secure Reports, Analysis, and System Administrator trainings as of 8/13/08. It was also sent to those who submitted Report Requests this calendar year (as of 8/13/08).
More than 35% of selected agency customers participated in this needs assessment survey; In addition,responses were received from 28 of the 32 state agencies.
Key findings from the surveyinclude:
Secure Reports
- Over 50% of respondents were unaware of Secure Reports (Q5)
Of the 50% who were aware of Secure Reports:
- Over 77% used Secure Reports (Q10)
- Over 79% found the Secure Reports useful (Q12)
- Over 80% found the Secure Reports website easy to navigate (Q13)
- Over 20% are currently using Secure Reports to compile their own reports (Q16)
- Respondents would like a reporting tool that would combine FLAIR and MFMP information into one place and/or would like to be able to pull Purchasing and Finance & Accounting information from one place (Analysis) (Q44)
Reports Job Aid
- Over 65% if respondents were unaware of the Reports Job Aid (Q19)
Report Request Process
- Over 70% were unaware of the Report Request Process (Q21)
Of those 30%who were aware, customers wanted to be able to pull their own ad-hoc reports (Q27)
Analysis Tool
- Over 54% of respondents were unaware of the Analysis Tool (Q28)
Of those 46% who were aware:
- Over 60% did not use the Analysis Tool (Q29)
- Over 58% did not find Analysis easy to use (Q31)
System Searches
- Over 86% of respondents were aware of system searches (Q32)
Of those 14% who were aware:
- Over 56% did not know results could be exported to Excel (Q34)
- Over 93% found system searches useful (Q35)
Training
- Over 52% of respondents were unaware that DMS MFMP offered Analysis Training (Q39)
- Over 71% of respondents who had not already taken Analysis Training are interested in attending (Q41)
Action Items
- Document the Report Request Process (Key finding from Q21)
- Update the Secure Report website to increase awareness of Secure Reports (Key Finding from Q5)
- Develop MFMP Reporting website, which will be located on the Buyer Toolkit which will aid customers in receiving Reporting information (Key Finding from Q5)
- Update Reports Job Aid in a new user-friendly format which will better explain what reports are available and what audience the report caters to (Finding from free response Q20)
- Develop Secure Reports module in OnDemand
- Communicate changes made to our customers to increase awareness of all aspects of MFMP Reporting (Key Finding to Q5, Q19, Q21, and Q28).
- Create a Hot Topic on the Analysis Tool to increase awareness of the module itself and the training tools and training sessions currently available (Key finding from Q28, Q39 and Q41).
