Position Purpose: / To deliver high level administrative support to ensure effective function of the Registered Training Organisation.
Qualifications/Experience: / Certificate / Diploma Health Administration / Administration
Certificate IV TAE – (desirable)
Excellent administration and computer literacy skills
Relevant and current professional and / or vocational qualifications and industry experience
Extensive knowledge and experience in working within RTOs including student management systems

Administration and Customer Service / ·  Oversees day to day operations of the RTO including but not limited to:
a)  resource usage and allocation
b)  customer service
c)  learner support
d)  meeting schedules, agendas, minutes
e)  correspondence
f)  learner management system
g)  review of policies and procedures
h)  human resource support including recruitment
i)  Mail collection and distribution
·  Implements a service culture and ensures own service commitments are met
·  Supports the delivery of services to learners and clients
·  Acts as a liaison for RTO personnel and learners / clients
·  Assist with preparation of documents for fortnightly payroll processing , including reviewing documents
·  Assist with the coordination of the Fee for Service Program
·  Assist with auditing of learner files as required
·  Preparation of meeting schedules and minutes as required. / ·  Direct administration support to RTO personnel
·  Administration support completed at a high standard and in a timely manner at all times
·  High level of customer service and correspondence at all times
·  Accurate data entry into Student Management System (SMS)
·  Provide administration assistance in the recruitment process
·  Assist with ongoing compliance with legislative instruments / materials / resources and external funding requirements as directed
·  Active participation and support in RTO auditing requirements
·  Evidence of system improvements in RTO administrative operations
·  High attention to detail in all work produced
·  Efficient processing of fortnightly payroll
·  Successful production of training outcomes and material required for the Fee for Service Program
·  Accurate completion of Record of Evidence Audit on Learner Files as required
·  Timely completion and distribution of meeting and agenda documents

Communication / §  Maintains communication with all MHTI external / internal stakeholders, clients, trainers / assessors and learners across Mercy Health
§  Identify and implement strategies to improve service delivery to customers
§  Liaise with internal and external stakeholders to meet training targets
§  Evidence of open and transparent communication / §  Manage and action all RTO Training enquiries received in a timely and professional manner
§  Assist in speaking to internal / external groups to ensure training services are aligned with business requirements
